Overview

Senior Executive Assistant The RiverWoods Group is currently hiring for a Senior Executive Assistant to support the CEO, Boards, VP of Ops and CFO.The Senior Executive Assistant (SEA) is a trusted partner to the CEO and the primary administrative support for two Boards of Trustees and related committees, while also providing coordination support to the VP Operations and CFO. This role sits at the center of executive leadership, board governance, and day-to-day operations—aligning priorities, ensuring meetings run smoothly, and driving consistent follow-through. The SEA works across four locations and collaborates with executive leaders, executive directors, trustees, staff, and residents. Success in this role requires excellent organization, sound judgment, discretion, and the ability to bring structure and process to a fast-paced, relationship-driven environment. Responsibilities

  • Manage complex calendars and scheduling across the CEO, VP Operations, CFO, two Boards of Trustees, and committees, spanning multiple locations.
  • Coordinate a high volume of meetings with internal and external stakeholders; prepare agendas, materials, and context to ensure leaders are ready.
  • Provide end-to-end administrative support for board governance, including quarterly board/committee meetings, annual retreats, and ongoing trustee communications.
  • Maintain a governance calendar and ensure required fiduciary items are tracked and incorporated into board and committee agendas.
  • Prepare and distribute board materials; manage the board portal and governance documentation.
  • Record, finalize, and post meeting minutes in a timely manner; document outcomes and decisions.
  • Track action items, outstanding issues, responses needed, and next steps—ensuring follow-through to completion.
  • Coordinate Executive Leadership Team and other leadership meetings, including recurring meeting logistics and retreats.
  • Support cross-department initiatives through coordination (not project ownership) by tracking priorities, maintaining documentation, and capturing lessons learned.
  • Develop and document repeatable processes; identify and implement opportunities to improve efficiency.
  • Edit and distribute presentations and executive communications to a high standard; handle confidential information with discretion.
  • Support executive office operations, including contract tracking/database maintenance, accounts payable, and expense report processing.
  • Coordinate conferences and external events as needed (e.g., LeadingAge) and perform other duties as assigned.

Qualifications

  • 5–10+ years supporting senior leaders in a fast-paced environment
  • Strong technical skills (Word, PowerPoint, Excel, collaboration tools, board portals, AI tools)
  • Experience supporting board governance preferred
  • Strong organizational and communication skills
  • Ability to manage multiple priorities with accuracy and discretion
  • Ability to build strong working relationships across the organization and work effectively with many personalities
  • Team-first mindset and willingness to do what is needed to help the organization succeed
