GENERAL STATEMENT OF JOB

Performs intermediate skilled administrative support work assisting with planning daily activities at the Senior Center, greeting participants, answering phones, and providing general information, entering a variety of information into the computer, preparing and maintaining files and records, performing routine building and grounds maintenance, does related work as required. Work is performed under the moderate supervision of the Senior Activity Center Director.


SPECIFIC DUTIES AND RESPONSIBILITIES

Essential Job Functions

Assists with planning, implementing, scheduling, and coordinating senior activity center programs and events; assembles and organizes supplies and equipment for assigned programs; confirms bookings and schedules with the appropriate staff, and acts as receptionist for coverage of extended hours on Monday, Tuesday, and Thursdays evenings.

Part of daily duties includes greeting visitors; screens callers; provides information; forwards calls to appropriate party; assists the public with detailed information about services, must provide completion of standardized records or documents; directs visitors to appropriate party.

This position will be responsible for planning and facilitating daily activities including managing the Arts/Crafts Program, Grief, Caregiver, and Dementia Support Programs, and other relater programs and activities. Must independently plan and facilitate daily activities that enhance the wellbeing and engagement of senior activity center participants.

Types a variety of documents including correspondence, lists, labels, reports, memoranda, reports, flyers, public service announcements, etc.; compiles report and/or statistical information; checks items for clerical accuracy and completeness.

Enters a variety of data into computer; prepares reports and logs; screens, verifies and reconciles input data; performs edits and updates.

Operates a County van for planned trips.

Performs other related work as required.

MINIMUM TRAINING AND EXPERIENCE

High school diploma or GED and minimal experience in office assistance work including public contact experience, or equivalent combination of education and experience.

SPECIAL REQUIREMENTS

Valid driver's license in the State of North Carolina.

Possession of or ability to obtain Activity Director and CPR/First Aid certifications.

REQUIRED TO PERFORM ESSENTIAL LOB FUNCTIONS

Physical Requirements: Must be physically able to operate a variety of machinery and equipment including computers, typewriters, transcribing equipment, calculators, copiers, facsimile machines, folding and labeling machines, etc. Requires the ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary Work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Data Conception: Requires the ability to compare and/or judge the readily observable, functional, structural or composite characteristics (whether similar or divergent from obvious standards) of data, people or things.

Interpersonal Communication: Requires the ability to speak and/or signal people to conveyor exchange information. Includes instructions, assignments or directions from superiors.

Language Ability: Requires the ability to read a variety of reports, correspondence, budgets, records, checks, invoices, forms, manuals, policies, directories, etc. Requires the ability to prepare correspondence, reports, forms, purchase orders, budget reports, ledgers, inventories, plans, etc., using prescribed formats and confirming to all rules of punctuation, grammar, diction, and style. Requires the ability to speak to people with poise, voice control and confidence.

Intelligence: Requires the ability to apply rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic or schedule form.

Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in a variety of technical or professional languages, including computer and agriculture terminology.

Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add and subtract; to multiply and divide; to calculate decimals and percentages; to compute discount, interest, profit and loss, ratio and proportion, etc.

Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width and shape.

Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using office equipment.

Color Discrimination: Does not require the ability to differentiate between colors and shades of color.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress.

Physical Communication: Requires the ability to talk and hear. (Talking: expressing or exchanging ideas by means of spoken words. Hearing: perceiving nature of sounds by ear.) Must be able to communicate via telephone.

KNOWLEDGE, SKILLS AND ABILITIES

Considerable knowledge of modern office practices and procedures.

Considerable knowledge of departmental and County policies and procedures.

Considerable knowledge of arithmetic, spelling, grammar, punctuation and vocabulary.

Skill in organizing work flow and coordinating activities.

Ability to use a computer and specified computer-driven word processing, spreadsheet and file maintenance programs.

Ability to type accurately at a moderate rate of speed.

Ability to maintain complete and accurate records and to develop meaningful reports from those records.

Ability to apply accounting principles and relevant laws and regulations to the preparation and maintenance of accounting records and reports.

Ability to analyze and interpret policy and procedural guidelines and to resolve problems and questions.

Ability to develop and modify work procedures, methods and processes to improve efficiency.

Ability to communicate effectively orally and in writing.

Ability to exercise considerable tact and courtesy in frequent contact with the public.

Ability to establish and maintain effective working relationships as necessitated by work assignments.
