Job Description

The Sample Coordinator supports laboratory operations by managing the complete lifecycle of samples and standards, from receipt and check-in through storage, transport, and final disposition. This role ensures that all sample-related activities comply with standard operating procedures and regulatory requirements while providing clear communication and guidance to laboratory staff. The Sample Coordinator works in a laboratory environment, responds to environmental alarms, and contributes to continuous process improvement and high-quality data integrity.

Responsibilities

  • Perform a variety of sample and standard handling tasks, including receipt, check-in, login, labeling, launching, inventory management, transport, and check-out.
  • Participate in the physical return and disposal of materials in support of the laboratory, following established procedures and safety guidelines.
  • Communicate the status of samples and standards clearly and promptly to appropriate laboratory staff to support efficient workflows and testing timelines.
  • Guide and advise laboratory staff on proper sample and standard procedures, ensuring adherence to applicable SOPs and regulatory expectations.
  • Review laboratory requests for samples and standards and provide feedback to ensure compliance with applicable SOPs and documentation requirements.
  • Complete investigation and deviation forms as required and determine appropriate corrective and preventive actions (CAPAs) to address issues and prevent recurrence.
  • Train on and apply SOPs, regulatory guidelines, and storage requirements in daily work, maintaining accurate and compliant sample management practices.
  • Respond to environmental unit alarms and participate in on-call responsibilities as assigned to support continuous laboratory operations and sample integrity.
  • Perform all work assignments accurately, in a timely manner, and in accordance with safety and quality standards.
  • Use and learn standard office equipment and technology, including Microsoft Office applications, to document activities and communicate effectively.
  • Communicate, receive, and understand information and ideas with diverse groups of people in a clear and reasonable manner.
  • Prioritize and handle multiple projects or activities simultaneously, performing successfully under pressure while meeting deadlines.
  • Lift and move objects weighing approximately 15 to 40 pounds as needed for sample and material handling.
  • Work upright and stationary and/or standing for typical working hours to perform sample coordination tasks.
  • Follow laboratory and regulatory requirements for documentation, sample storage, and inventory flow to maintain accurate records and traceability.
  • Contribute to process improvement by supporting the development and review of SOPs and process improvement outlines.
  • Collaborate effectively with team members and laboratory staff to support a cooperative and efficient work environment.

Essential Skills

  • Experience with sample preparation and sample handling in a laboratory environment.
  • Basic knowledge of inventory flow within a laboratory setting and an understanding of laboratory and regulatory requirements, including documentation and sample storage.
  • Ability to write and review standard operating procedures (SOPs) and process improvement outlines.
  • Familiarity with Microsoft Office, including Word and Excel, for documentation, reporting, and communication.
  • Strong written and oral communication skills to interact effectively with diverse groups of people.
  • Effective time management and project management skills to handle multiple tasks and priorities.
  • Problem-solving and troubleshooting abilities to identify issues and support appropriate CAPAs.
  • Ability to work successfully in a collaborative team environment.

Work Environment

This role is based in a laboratory environment that may occasionally involve exposure to potentially hazardous elements, including infectious agents typically found in healthcare or laboratory settings. The position may require work in non-traditional work environments and rare exposure to fluctuating or extreme temperatures. The Sample Coordinator uses standard office equipment and technology, including computers and Microsoft Office applications, alongside typical laboratory tools and systems used for sample management and storage. The work involves periods of standing and stationary activity during typical working hours, as well as lifting and moving materials weighing 15 to 40 pounds. The environment emphasizes safety, regulatory compliance, accurate documentation, and collaborative teamwork to support reliable and efficient laboratory operations.

Job Type & Location

This is a Contract to Hire position based out of Richmond, VA.

Pay and Benefits

The pay range for this position is $18.00 - $19.00/hr.
