Warehouse Purchasing Supervisor
Position SummaryThe Purchasing / Warehouse Supervisor is responsible for overseeing procurement, receiving, inventory control, and material distribution to ensure uninterrupted production operations. This role ensures materials are sourced, stored, and delivered efficiently while maintaining food safety, quality standards, and cost control. The Supervisor also leads warehouse staff and drives continuous improvement in inventory and purchasing processes.Key Objectives (Right Metrics Framework)Right Quality:Ensure all materials meet internal and external quality standards, including inspection of incoming goods and lot-controlled items.Right Quantity:Maintain optimal inventory levels to support production demand while minimizing excess stock and carrying costs.Right Place:Ensure proper storage, warehouse organization, and safe delivery of goods.Right Time:Coordinate timely deliveries using demand planning and Just-in-Time inventory practices.Right Price:Optimize procurement costs through vendor negotiation and cost analysis without compromising quality.Warehouse Optimization:Maintain accurate warehouse layout, labeling, and material mapping for efficiency.Essential Duties & ResponsibilitiesProcurement & Vendor ManagementPrepare and process purchase orders; ensure accuracy, approvals, and timely submission.Manage vendor relationships, pricing, and performance.Conduct cost and price analysis; resolve discrepancies and variances.Maintain procurement data including lead times, usage, and minimum order quantities.Receiving & Inventory ControlOversee receiving, inspection, and documentation of all incoming materials.Ensure proper lot tracking, labeling, and compliance with food safety standards.Maintain accurate inventory records and reconcile discrepancies.Conduct cycle counts and support quarterly and annual physical inventories.Warehouse OperationsSupervise daily warehouse activities including storage, transfers, and material handling.Ensure FIFO (First-In, First-Out) practices and proper product rotation.Maintain cleanliness and organization in compliance with FSMA and GMP standards.Monitor logs (receiving, spoilage, returns, forklift inspections, etc.).Coordinate equipment maintenance and forklift servicing.Planning & LogisticsForecast material needs based on production schedules and usage trends.Schedule and coordinate deliveries and interdepartmental transfers.Ensure timely delivery of materials to production to prevent downtime.Quality & ComplianceEnsure compliance with HACCP, GMP, FSSC 22000, and regulatory requirements.Manage Certificates of Analysis (COAs) and coordinate with Quality Assurance.Enforce company safety policies and procedures.Leadership & SupervisionSupervise warehouse staff including clerks and forklift operators.Lead hiring, training, performance management, and employee development.Conduct regular team meetings and quarterly one-on-ones.Promote a collaborative, professional, and respectful work environment.Communication & CollaborationPartner with production, QA, and accounting teams daily.Provide responsive internal customer service across departments.Ensure transparency in purchasing communications and documentation.Problem Solving & Continuous ImprovementIdentify operational inefficiencies and implement improvements.Resolve inventory, supplier, and operational issues proactively.Drive cost reduction and process optimization initiatives.Qualifications
Education & ExperienceAssociate’s degree or equivalent experience requiredMinimum 3+ years of warehouse supervision and purchasing experienceTechnical & Regulatory KnowledgeKnowledge of HACCP, GMP, FSSC 22000, and food safety regulationsERP system experience (DAX preferred)Proficient in Microsoft Office SuiteSkills & CompetenciesStrong leadership and supervisory skillsExcellent communication and interpersonal abilitiesAnalytical thinking and problem-solving skillsEffective time management and multitasking abilityNegotiation and strategic planning skillsHigh attention to detail and organizational abilityAbility to thrive in a fast-paced environmentCertifications (Preferred)HACCP CertificationPCQI CertificationPhysical Demands & Work EnvironmentPrimarily office and warehouse environmentOccasional standing, walking, and lifting (up to 50 lbs occasionally)Exposure to warehouse conditions, including moderate noise and equipment operationMust be able to perform essential job functions with or without reasonable accommodationSupervisory ResponsibilityDirectly supervises warehouse and receiving staff.
