Strategic Operations Lead

Role Summary
- The Strategic Operations Lead functions as the right-hand to the Director, supporting Electric Transmission Asset Management by driving operational alignment, project visibility, and execution across key organizational priorities.
- This individual will be responsible for designing, implementing, and managing a centralized system (“Telescope”) to track project progress, dependencies, and communication across teams—ensuring initiatives move forward efficiently, updates are synchronized, and leadership has clear visibility into progress.
- In addition to project tracking, this role will play a critical part in standardizing workflows, improving cross-team communication, and building scalable operational processes across engineering and operations functions.
Key Responsibilities
Leadership and Strategic Support
- Support leadership in coordinating strategic initiatives, organizational priorities, and cross-functional activities.
- Prepare structured updates, dashboards, and summaries to support leadership decision-making.
- Facilitate leadership meetings and working sessions, ensuring alignment and follow-through on actions.
- Act as a liaison between leadership and project teams to ensure consistent communication and accountability.
Project and Initiative Coordination
- Own and manage the Telescope system as the centralized source of truth for project tracking and status updates.
- Partner directly with project leads to ensure real-time, synchronized updates across initiatives.
- Track key milestones, deliverables, risks, and dependencies to maintain visibility into major initiatives.
- Maintain situational awareness across active initiatives and proactively communicate progress, risks, and upcoming milestones.
- Coordinate activities across engineering teams, operations, supply chain, and vendors.
Operational and Administrative Coordination
- Coordinate onboarding logistics for contractors, interns, and new employees, while enhancing and formalizing onboarding workflows.
- Manage travel planning, meeting coordination, and event logistics supporting leadership activities.
- Maintain organizational documentation including team structures, operational records, and process documentation.
Business Operations Support
- Support SAP-related activities such as purchase requisitions, invoice coordination, and basic cost tracking.
- Assist with coordination between project teams and supply chain partners for contracts and vendor engagements.
- Help streamline information gathering and approval workflows for purchase orders (POs) to reduce delays and improve efficiency.
Process Improvement & Standardization
- Identify and drive opportunities to improve organizational coordination, workflow efficiency, and cross-team visibility.
- Lead efforts to standardize processes, particularly around:
- Purchase order (PO) management
- Project tracking and reporting
- Communication and status update frameworks
- Develop and document scalable operating procedures and best practices.
- Interview stakeholders and project leads to define and implement consistent communication standards.
- Train project leads and team members on structured reporting, system usage, and communication expectations.
Knowledge, Skills, and Abilities (KSA)
- Strong organizational and planning skills with the ability to manage multiple priorities and initiatives simultaneously.
- Ability to synthesize information from multiple sources and translate it into clear summaries, updates, and action items.
- Demonstrated ability to coordinate activities across multiple teams within a complex organization.
- Experience building or improving project tracking systems, workflows, or operational processes.
- Strong written and verbal communication skills with the ability to interact effectively with leadership, technical teams, and external partners.
- Ability to exercise independent judgment and operate effectively in a fast-paced environment with minimal supervision.
- High level of professionalism, discretion, and situational awareness when supporting leadership activities.
