Who are we looking for?
GHD is looking for an experienced Project Coordinator to support a wide range of capital improvement projects at one of our client’s facilities, with additional opportunities to work with a talented team across Arizona and California. The position plays a critical role in keeping complex projects organized, coordinated, and moving forward. They support both design and construction teams by managing schedules, tracking deliverables, maintaining document control, and facilitating clear communication among construction managers, engineers, contractors, utility staff, and regulators. Strong organizational skills, attention to detail, and the ability to prepare accurate meeting notes, logs, and status updates are essential.
Effective Project Coordinators have a working understanding of design and construction processes, including plans, specifications, submittals, RFIs, and change management. They are proactive problem‑solvers who anticipate coordination issues, adapt to changing priorities, and use digital tools to manage information efficiently. Professionalism, reliability, and an understanding of public‑sector and utility environments are key, as the role often serves as the connective link between technical teams, field staff, and project leadership.
This position will be located at a client site 5 days per week.

Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:
Project Execution and Coordination
- Coordinating design and construction inputs from stakeholders.
- Administering consultant and contractor contracts, including reviewing forecasts, invoices, and progress claims.
- Schedule and coordinate project meetings (with internal and external stakeholders) and distributing meeting agendas, take detailed minutes, tracking action items, deliverables, and contractor submissions.
- Monitoring and managing project changes, including preparing change documentation.
- Monitor and log incoming invoices; verify accuracy and coordinate approvals
- Maintain invoice tracking spreadsheets and support monthly financial reporting
- Support project managers with administrative tasks related to project planning and execution
- Help maintain project schedules and assist with tracking deliverables and deadlines.
Planning and Procurement
- Supporting procurement activities such as preparing RFPs, RFQs, and tender documents.
- Assisting Project Managers to develop evaluation criteria and assess bids. Developing and maintaining project schedules, cash flow forecasts, and accruals.
Project Management and Reporting
- Implementing project management plans to ensure projects are delivered safely, on time, on scope, and on budget.
- Maintain organized project documentation control (including contracts, change logs, tracking lien notices, and project correspondence)
- Assist in preparing project reports, presentations, and status updates
- Accurately reporting project status in alignment with departmental and corporate standards.
Stakeholder Engagement and Communication
- Ensuring timely and effective communication with the Project Manager and key stakeholders.
- Coordinating with diverse project teams to achieve project objectives.
Compliance, Safety, and Continuous Improvement
- Monitoring performance metrics and supporting continuous improvement initiatives.
- Ensuring compliance with policies, standards, and regulatory requirements to mitigate risks.
Independent Project Management
- May independently manage less complex projects or components within a larger program, applying the same principles and practices outlined above.
Additional Responsibilities
- Workshop Facilitation: Facilitate process development workshops with subject-matter experts, drive agreement on process flows across functional areas, and document processes and activity workflows to develop clear and detailed process maps.
- Innovation Strategy, Pipeline, and Road Map: Provide the means (e.g., research, ideas, solutions) to prototype innovation business cases with the potential to shape the innovation strategy, pipeline, and road map.
- Budgeting and Costing: Deliver a budget for an area of the organization or conduct complex analyses on budget progress in other areas of the organization.
- Knowledge Management System: Manage the knowledge management system with guidance from senior colleagues. May involve responsibility for the development or operation of the system.
Education:
- Bachelor's Degree or Equivalent Experience
Experience:
- Minimum 10 years of experience

Salary Range - $88,000-$133,000
