Job Title: Project Coordinator

Job Description

We are seeking a dedicated Project Coordinator to facilitate the development and distribution of project-specific cost controls and assist in the creation of project budgets. The ideal candidate will maintain project budget information and support proposal managers and estimators in developing proposal pricing. This role involves generating internal and client cost reports, assessing manpower requirements, and preparing project updates. The Project Coordinator will reconcile project cost reporting with accounting records and analyze cost variances to budget.

Responsibilities

  • Support project managers in the development of project budgets.
  • Maintain and update project budget information.
  • Support proposal managers and estimators in developing proposal pricing.
  • Provide updated cost reports showing baseline budget forecasts and variances.
  • Review and update cost coding and allocations.
  • Generate and distribute internal and client cost reports.
  • Assess manpower requirements and estimate task durations.
  • Examine records to obtain data for Estimate to Complete (ETC) calculations.
  • Prepare project updates including written narrative and custom reports.
  • Reconcile project cost reporting with accounting and financial records.
  • Analyze and report cost variances to budget.
  • Maintain a change log tracking change orders and impacts on project cost.
  • Help prepare change order requests.
  • Prepare and maintain project registers for issues, risks, decisions, action items, and lessons learned.
  • Prepare and distribute project meeting notes.
  • Ensure contractual requirements for project controls deliverables are met.
  • Review client invoices for accuracy and completeness.
  • Report significant forecast movements.
  • Confer with management to determine project status.
  • Analyze projects to identify performance issues and recommend solutions.
  • Support proposal development and communicate with subcontractors and suppliers.
  • Track subcontractor/vendor invoices and commitments.
  • Adapt to shifting priorities, demands, and timelines.

Essential Skills

  • Bachelor's or Associate's degree in Management, Construction Management, or a technical discipline.
  • 2+ years of project coordinating experience.

Work Environment

This role offers a 40-hour work week with a flexible schedule of 3 days in-office and 2 days working from home. For top candidates, a mostly remote structure is available with occasional office visits in Lexington. The medium-sized engineering office comprises 35-50 people, including field staff, engineers, and project managers. The team is aligned by client portfolio, ensuring collaboration with designers, engineers, and project managers supporting the same projects.

This is a Contract to Hire position based out of Lexington, KY.

Pay and Benefits

The pay range for this position is $30.00 - $50.00/hr.
