The Project Coordinator II (PC II) will help support the Project Managers, Foremen, and the Salespeople. Responsibilities including but not limited to customer service, general clerical duties, office organization and clerical support of the PM’s and Salespeople. The PC II will facilitate Hermanson excellence on Projects through fastidious attention to detail in maintaining Project documentation for one or multiple projects ranging in size. The PC II will an expert in Project Documentation, acting as a source of knowledge on this subject and assisting Hermanson to continually improve process related to Project Documentation and organization.


Roles & Responsibilities (General)

  • Business group print requests.
  • Basic tech support for field and office.
  • Manages and maintains office equipment/machines.
  • Provides general office housekeeping.
  • Bi-weekly audits of office supplies/needs.
  • Shipping and receiving packages to and from the office.
  • Event planning for business unit. Requirements of event determined by BGL or CE.
  • Assisting staff with expense reports.
  • Updating Stat Shortcuts/Executive Summaries.
  • Opening projects once they have been awarded in ACC Build.
  • Creating and updating job folders.
  • Assisting salespeople with saving plans in SharePoint and completing overlays in Bluebeam.


Roles & Responsibilities (Projects)

  • Updating plan sets with new sheets and maintaining records.
  • Create base procurement, submittal, and asset logs from equipment matrices and specs. Editing and finalizing the logs is by PM.
  • Compile job books documentation for field turnovers per PM direction.
  • Review JNRs prepared by Salespeople and PMs for formatting and entry errors.
  • Filling out subcontract request forms (SPD). Scope and value provided by PM.
  • Gathering and packaging submittals per PM direction. Review of data is by PM.
  • Issuing submittals per PM direction and logging.
  • Processing purchase orders (POs). POs are prepared by PMs.
  • Track and update procurement log.
  • Compiling closeout packages upon project completion (O&Ms, warranty letters, as-builts, etc).
  • Saving and logging RFIs. Posting RFIs to drawings by PM. Updating plansheets by Coordinator.
  • Issue submittal, RFI and procurement logs as requested by PM.
  • Journal adjustments as directed by PM.
  • Track job-specific needs, such as per diem/subsistence payments, non-disclosure agreements, badging, etc. as directed by PM.


Accountabilities & KPIs

  • Achieves positive qualitative feedback from internal team members (salespeople, PM’s, other coordinators)
  • Achieves identified customer objectives.
  • Achieves perfect accuracy in tracking logs and saving project documentation per Hermanson Standards.


Qualifications, Capabilities & Experience:

  • The qualified candidate must have at least 3 years of progressive experience in performing duties and responsibilities similar to those mentioned above. In addition, the candidate should:
  • Have a strong motivational fit for mechanical systems, design, and construction.
  • Possess strong written and verbal communication skills.
  • Be able to demonstrate strong organizational skills.
  • Possess good computer skills, including ACC Build, MS Office, Bluebeam Revu and being able to navigate databases, enterprise systems and online content with ease.
  • Experience in a fast-paced business environment is preferred.
  • The successful candidate should have the ability to quickly learn Hermanson Company’s processes and procedures.

  • This position is required to support field personnel and service our customers on projects. Depending on project requirements this may require full-time presence on the site and in some cases, presence before and after the project scheduled hours. Flexibility regarding hours and location of work is dependent on project requirements as determined by your supervisor.


Education:

  • Must have the educational credentials to do the compositional and computational aspects of the job (at least a high school degree/GED, with additional education being desirable).
