Job Description

We are seeking a highly organized, bilingual (English/Spanish) Project Administrative Assistant to support our construction project team through both administrative duties and light project coordination. In this on-site role, you will serve as a vital hub of information, ensuring smooth daily office operations while assisting project leadership with essential tasks such as timekeeping, procurement, and onboarding.

The day-to-day involves a mix of clerical support and active coordination, ranging from managing field crew attendance to sourcing site materials and facilitating communication between the office and field staff. You will collaborate closely with the Project Coordinator, Assistant Project Manager, and Project Manager to ensure all team members have the documents and supplies needed to keep the project running safely and on schedule. This role is ideal for a tech-savvy professional who thrives in a "growth mindset" environment where adaptability and attention to detail are paramount.


Duties and Responsibilities

  • Manage daily time and attendance records for field crew using the SmartBarrel system and paper sign-in sheets.
  • Compile and submit comprehensive weekly time reports for management review.
  • Oversee new-hire onboarding logistics, including scheduling orientation and safety training sessions.
  • Update internal staffing spreadsheets with new hire information and start dates.
  • Issue required Personal Protective Equipment (PPE) and guide new employees through site protocols.
  • Create and track Purchase Orders (PO) in the Acumatica ERP system through to final delivery.
  • Coordinate with vendors and the warehouse to confirm delivery schedules and log packing slips.
  • Manage office supply inventory and arrange for the procurement of routine and specialized project materials.
  • Prepare project documentation, collect team updates, and input data for weekly status reports.
  • Maintain digital and physical project filing systems to ensure information is organized and accessible.
  • Arrange site meetings and appointments as assigned by project leadership.


Required Experience/Skills

  • Bilingual Proficiency: Must be fluent in English and Spanish to communicate with all crew and staff.
  • Professional Experience: 2+ years in an administrative support role, ideally within construction or engineering.
  • Technical Skills: Proficiency in Microsoft Office, with a strong emphasis on Excel for data and budget tracking.
  • Communication: Excellent written and verbal skills for interacting with workers, vendors, and management.
  • Detail Orientation: Proven ability to manage records and catch errors in timesheets or purchase orders.
  • Reliability: Must be punctual and dependable for the 6:30 AM – 3:00 PM schedule.
  • Compliance: Ability to pass a 10-panel drug test and background check prior to starting.


Nice-to-Haves

  • Prior experience with Acumatica (ERP) or SmartBarrel (timekeeping) systems.
  • Experience specifically in project coordination or construction site administration.
  • A proactive attitude and eagerness to take on new responsibilities as the role expands.
  • Experience working in fast-paced, "all-hands-on-deck" project environments.


Education

  • High School Diploma or equivalent; professional work experience in a related field is preferred.


Pay & Benefits Summary

  • Pay Rate: $28 – $32 per hour, based on experience.
  • Schedule: Monday to Friday, 6:30 AM – 3:00 PM.
  • Overtime: Paid overtime is available, including approximately 2 hours on weekends.
  • Project Duration: 12-month project, with potential for extension.
  • Role Type: Full-time contract position.
