Job Title: Project Administrator
Job Description

The Project Administrator will support construction and high voltage electrical projects by coordinating activities, maintaining accurate documentation, and assisting with day-to-day project administration. This role requires three to five years of experience in the construction field, strong organizational and communication skills, and proficiency with project management tools and Microsoft Office. The Project Administrator will work closely with project teams and other stakeholders to help ensure projects are delivered on time, within scope, and in alignment with operational standards.

Responsibilities

  • Assist in planning and executing projects from inception through completion, supporting project managers and field teams.
  • Coordinate and communicate effectively with team members, clients, and vendors to ensure smooth project operations and timely information flow.
  • Maintain organized documentation of project activities, including meeting notes, action items, status reports, and other project records.
  • Maintain documentation and reports of work activities to support project tracking and reporting requirements.
  • Perform a variety of administrative duties, including managing emails, phone calls, mail, and couriers.
  • Prepare correspondence and other documents as needed to support project communication and reporting.
  • Order and track office supplies to ensure the project team has the resources required to operate efficiently.
  • Support project coordination tasks such as scheduling meetings and assisting with project timelines.
  • Assist with data entry and maintenance of project information in spreadsheets and other project management tools.
  • Support the preparation and processing of change orders and client invoices as needed.
  • Use Microsoft Excel to sort, filter, and organize data in basic tables for reporting and analysis.
Essential Skills
  • Three to five years of experience in the construction field.
  • Working knowledge of high voltage electrical work.
  • 2+ years of experience maintaining documentation of project activities, including meeting notes, action items, and status reports within a manufacturing or construction setting.
  • 1+ years of experience performing administrative duties such as managing emails, phone calls, mail, couriers, preparing correspondence, and ordering office supplies.
  • 2+ years of experience sorting, filtering, and using basic tables within Microsoft Excel.
  • Strong project coordination skills with the ability to support multiple tasks and deadlines.
  • Proficiency with Microsoft Office, including Excel and other core applications.
  • Strong data entry and documentation skills with high attention to detail.
  • Effective verbal and written communication skills for interacting with team members, clients, and vendors.
  • Strong organizational skills and the ability to manage competing priorities in a fast-paced environment.
  • Customer service skills to support internal and external stakeholders.
  • Ability to schedule and coordinate meetings and project activities.
Additional Skills & Qualifications
  • Diploma or equivalent post-secondary education.
  • Experience working in a construction or manufacturing environment.
  • Familiarity with project management software or tools.
  • Experience supporting change order processes.
  • Experience assisting with client invoices.
  • Ability to work collaboratively with field leadership and larger project teams.
  • Interest in long-term, temp-to-hire opportunities with potential for growth.
Work Environment

This position is based in Chester Springs, PA, with occasional travel to Bethlehem, PA. The Project Administrator will work closely with two general forepersons and a team of approximately 30 people in a very hands-on, blue-collar environment. Work is primarily conducted from trailers at active construction sites, requiring comfort in a field-based, operational setting rather than a traditional office. The organization offers a full suite of power line contracting services, including emergency and storm response, distribution, transmission, and live line work, providing exposure to large-scale and critical infrastructure projects. The role is structured as a temp-to-hire opportunity, offering the potential to grow with a nationally recognizable organization that values team tenure and long-term commitment.

Job Type & Location

This is a Contract to Hire position based out of Chester Springs, PA.

Pay and Benefits

The pay range for this position is $18.00 - $21.00/hr.
