Program Manager, Clinical Operations

📍 Oakland / Castro Valley, CA (Hybrid) / Full-Time

We’re partnering with a rapidly growing, mission-driven organization expanding its clinical services and impact across the Bay Area.

This is a newly elevated role driven by growth, not backfill, designed to bring structure, visibility, and operational discipline to a fast-moving clinical environment.

If you’re someone who thrives in organized chaos, builds systems where none exist, and wants your work to directly support meaningful community impact… keep reading.

The Opportunity

This role sits at the center of the clinical team and is responsible for:

  • Creating structure across documentation, reporting, and workflows
  • Ensuring clinician notes tie accurately to programs and funding sources
  • Supporting grant compliance, reporting, and internal accountability
  • Building tracking tools, dashboards, and operational systems
  • Partnering cross-functionally with clinical, finance, and leadership teams

This is not a clinical role — it’s the operational backbone that allows clinicians to do their best work.

What Success Looks Like

  • Clear visibility into clinical workflows and reporting
  • Organized, audit-ready documentation tied to funding sources
  • Strong systems for grant tracking and compliance
  • Fewer bottlenecks, stronger follow-through across teams
  • A clinical department that runs smoother, faster, and more consistently

What This Role Is (and Isn’t)

This is:

✔ Program operations

✔ Compliance and reporting support

✔ Internal coordination and workflow management

This is NOT:

✖ A therapist or clinician role

✖ Direct patient care

✖ A traditional hospital clinical operations job

✖ A pure people leadership role

Ideal Background

You’ll likely come from:

  • Behavioral health or human services nonprofits
  • Domestic violence / housing / shelter organizations
  • Grant-funded, compliance-driven environments

Must-Have Experience

  • Strong program or administrative operations experience
  • Experience in grant-funded or compliance-heavy environments
  • Building and managing trackers, workflows, and reporting systems
  • High organization, follow-through, and process discipline
  • Ability to coordinate across multiple teams and priorities

Nice to Have

  • Exposure to Medi-Cal or funder reporting
  • Familiarity with behavioral health or trauma-informed care
  • Experience with nonprofit compliance and documentation standards

Who You Are

  • Highly organized and detail-oriented
  • Process-minded — you build structure where it doesn’t exist
  • Calm in ambiguity and fast-paced environments
  • Strong communicator and follow-through operator
  • Mission-driven, even if you’re not a clinician

Compensation & Structure

  • ~$80K base
  • Full benefits (medical, dental, vision, 403b match)
  • Hybrid role with required on-site presence in the Bay Area

Why This Role Matters

This is a high-impact, behind-the-scenes leadership role. The person who ensures the clinical engine actually runs.

If done well, your work directly improves:

  • Service delivery
  • Funding accuracy
  • Team effectiveness
  • Organizational growth
