Department overview:

The Project Portfolio Office consists of full time Program and project managers, business analysts and PMOs, with responsibility for global and/or cross-functional projects and Programs, as well as delivering projects for functions that do not have their own dedicated change teams.

The team provides consistent governance and oversight and is not functionally aligned, thereby ensuring impartiality when servicing multiple functions. We work closely with our stakeholders and sponsors in the line and maintain close working relationships with Technology partners, both internal and external.

Project description:

  • Nomura is undergoing a strategic transformation of its global HR function. Centred around the core objective of a cloud implementation, Nomura is taking the opportunity to review its Operating and Service Delivery Model, End to End process Design and technology offering to facilitate a better user experience
  • This role will focus on the following:

Implementation lead for Phase 4 of the HR Transformation Program, taking responsibility for the management and monitoring of a Program of work with various projects and project managers

Primary project manager for a new centralised Payroll offering working with a 3rd party to deliver managed service payroll

Role description:

  • The role is based in US and will have dual reporting into the Global Head of HR Operations and EMEA HR Change Lead
  • The PM will be responsible for running a Program of work covering all HR projects with upwards reporting to a senior steering committee
  • The PM will be first point of escalation for project managers under the Program of work and will be expected to set-up project governance centred around Nomura's project framework to monitor progress, resolve risks and issues, and ensure delivery
  • The PM will also have a dual role co-managing the delivery of a Global Payroll Program, reporting up to the Global Head of HR Operations
  • The PM will actively manage a 3rd party for the delivery of the Global payroll Program alongside another senior PM based in Singapore
  • Responsible for co-ordinating project planning, oversight of documentation and sign offs, tracking and delivery of activities, and working according to the prescribed project governance framework
  • Responsible for planning and executing analytical tasks, including documentation of business and functional requirements and operating model working with an existing team of SMEs and BAs
  • Accountable for managing vendor relationships with good, clear communications and ensuring strong collaboration between internal and external team members
  • Both attend and lead frequent meetings with the Project Teams, Technology, SMEs and stakeholders
  • Maintain minutes and track actions, holding action owners accountable for delivery of key tasks
  • Communicate clearly with key stakeholders to update on the project's status and RAIDs, all of which require ongoing, proactive management
  • Assess and manage risks and issues, and escalate via the appropriate project and program governance structures
  • Create agenda and materials for senior stakeholder meetings

Skills, experience, qualifications and knowledge required

  • Essential to have experience of supporting projects at an Investment Bank with an understanding of the culture and nuances that come with it
  • Essential to have experience working with an HR department and some understanding of the operating model for a global HR functions
  • Essential to have experience working with an external vendor, and managing a vendor relationship
  • Essential to have experience managing a Program of work with sub projects and PMs and setting up a governance structure to track a body of work
  • Strong stakeholder management in order to drive the project forward and ensure milestones are met
  • Ability to adapt to business demands and act as a partner to facilitate delivery
  • Attention to detail and high quality standards relating to documentation, processes and the control environment are essential
  • Confident self-starter who can work under pressure, using their own initiative and with the drive to work to aggressive deadlines and to see tasks through to completion
  • Experience working to a project plan and delivering technology solutions on time
  • A sound understanding of the project life cycle and different project management methodologies
  • Excellent communicator and influencer, able to build relationships with colleagues at all levels from a range of departments, business areas and cultures in order to build consensus
  • Ability to collaborate and work with offshore teams
  • Desire to challenge existing processes and drive forward change
  • Initiative and ability to think laterally
  • Essential to be highly competent in MS Office products
