Required Skills & Experience
- Bachelor’s degree in Business Administration, Public Administration, Supply Chain Management, or a related field preferred (not a strict requirement)
- Minimum of 3–5 years of experience in procurement, purchasing, or contract administration
- Public sector, government, or nonprofit procurement experience strongly preferred
- Working knowledge of federal, state, and local procurement regulations; experience with HUD-funded or compliance-driven procurement is a plus
- Strong organizational and documentation skills with a high level of attention to detail
- Proven ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced, structured environment
- Strong written and verbal communication skills, with the ability to interact professionally with vendors and internal teams
- Ability to work independently while also contributing effectively within a small, collaborative team
Job Description
The Procurement Specialist will play a critical role in supporting agency-wide purchasing operations within a highly regulated public-sector environment. This position is responsible for assisting with all aspects of the procurement lifecycle, including competitive solicitations, vendor coordination, contract administration, and compliance oversight. The ideal candidate will bring a strong attention to detail, experience navigating formal bidding processes, and the ability to collaborate across multiple departments to ensure timely and compliant purchasing activities.
Key responsibilities include supporting procurement initiatives for services and goods used across the organization, ensuring adherence to federal, state, and local regulations, and maintaining accurate documentation throughout all procurement processes. This role requires comfort working in a structured, compliance-heavy environment where processes must be followed precisely and deadlines are critical.
Key Responsibilities
- Support end-to-end procurement activities, including development of bid specifications, coordination of RFPs/RFQs, and administration of contracts from award through execution
- Assist with vendor outreach, communication, and follow-up throughout the solicitation and award process
- Coordinate and support bid openings, evaluation committees, and documentation related to proposal reviews
- Ensure all procurement activities comply with federal, state, and local regulations, policies, and internal procedures (HUD-funded procurement experience strongly preferred)
- Review contracts and supporting documentation to ensure accuracy, compliance, and appropriate language prior to execution
- Maintain organized procurement files, records, and reporting in accordance with audit and compliance requirements
- Collaborate closely with internal departments and stakeholders to understand purchasing needs, timelines, and specifications
- Support sourcing efforts for vendors and contractors (e.g., landscaping, maintenance, professional services) and assist with ongoing vendor management
