The purpose of this position is to provide administrative and clinical support for Oculoplastics Faculty, specifically in the areas surgical scheduling, billing and day-to-day operations. To provide support and expertise in the areas of cosmetic and medical surgery scheduling, billing, coding and authorizations for surgical procedures. Assists practice as a whole in achieving superior patient care. This is a full time, on-site position.
Function/Duties of Position
SURGERY SCHEDULING: The Surgery Coordinator will be responsible for all aspects of surgical scheduling for the Oculoplastics division at Casey Eye Institute. This includes scheduling (when the need arises) for multiple, specialty-specific providers. The Surgery Coordinator will actively manage block time on a daily basis for all assigned providers and adjust according to changing patient care needs. Surgery Coordinator is responsible for scheduling patients into department block time, schedule all necessary equipment and required staff based on the surgical procedure, and ensuring that the providers provide the necessary documentation for all procedures. The Surgery Coordinator will be responsible for appropriately blocking out OR time based on the procedure indicated by the physician. This requires an understanding of timelines (profiles) for individual procedures and individual physician surgical patterns. The Surgery Coordinator is responsible for scheduling of surgeries and should provide necessary coordination with other OHSU providers when appropriate
The Surgery Coordinator will work closely with the department billing/coding coordinator to obtain/verify accurate coding information for the surgical procedure(s). Must maintain a working knowledge of appropriate ophthalmic diagnosis and procedural coding. Confirm patient eligibility for the procedure and obtain insurance authorization from the insurer.
COSMETIC QUOTE: Determine/calculate accurate charges for cosmetic procedures based on physician chart note and OHSU policy. Convery surgical/quote information electronically and/or by mail to patient. Offer support and guidance to patients regarding understanding of said quote and also proper avenues of payment.
CUSTOMER SERVICE: Provide high quality customer service to both external customers (patient, referring providers, and insurance carriers) and internal customers (OHSU health care providers and staff) that meets or exceeds the service standards of the health care industry. This duty includes prompt and professional communication efforts, face-to-face/telephone customer contact skills, crisis management skills, responsiveness to internal/external customers' needs, prompt communication with the appropriate providers or their designees, and continuous process improvement skills.
Provide backup support and serve as a resource to the other administrative and technical support in the division and/or for the Casey Eye Institute department. Additional duties such as working Epic WQ’s (scheduling, OR, denial, charge router, credit, etc.), attend meetings, support phones, back-up front desk, check patients in and out, schedule, etc. Other duties as assigned by manager.
Required Qualifications
One year of experience in a medical office setting, including high-volume direct patient contact, scheduling of appointments and may require experience obtaining managed care authorizations (dependent on position description). OR one and a half years of work experience in a high volume direct public contact position and 6 months experience in a medical office setting. The candidate must have a thorough knowledge of PAS policies and procedures.Candidates will have demonstrated advanced PAS user skills as well as extensive knowledge of integrated care at OHSU.
Knowledge and Skills Required:
Basic computer skills including word processing. Windows applications, on-line scheduling, and a preference for data-base skills. Excellent verbal and written communications skills. Strong customer service orientation. Demonstrated effectiveness in confrontational customer interactions. Working knowledge of medical terminology. Strong relationship building skills with patients, health plans, providers, staff, management. Exceptional customer service skills both in person and on the phone. Exceptional interpersonal skills and ability to resolve conflicts and problem-solve between parties. Demonstrated evidence of strong written and verbal communication skills. Ability to manage competing priorities. Ability to meet deadlines and urgent system needs. Ability to work independently; willingness to serve as a positive and professional role model. Must have demonstrated record of reliable attendance, punctuality and proven successful performance in past and present.
Preferred Qualifications
High School Diploma or GED preferred. Two years of work experience in a medical office in high volume direct patient contact. Preferred experience in ophthalmology. Epic and cadence experience also preferred.
