We are working with one of the largest and most well established full-service law firms in the Northern New England, looking for an experienced Operations Manager to join the team in their Manchester, New Hampshire office.


The Operations Manager will provide strategic and day-to-day leadership to the firm’s administrative and support functions. Reporting directly to the Director of Administration, you will be the primary architect of the firm's operational environment, ensuring a seamless experience for attorneys, staff, and clients.


Key Responsibilities

  • Facilities & Space Management: Oversee building maintenance, repairs, and office allocations for multiple locations. Manage lease relationships and compliance, and forecast future capital needs on a rolling five-year basis.
  • Departmental Leadership: Directly supervise Facilities, Reception, Training, and Scanning departments. Manage workflow, timecards, and ensure proper coverage across legal assistant and floater pools.
  • Strategic Transitions: Plan and execute space and file transfers for incoming and outgoing attorneys/firms, overseeing both electronic and manual file management.
  • Vendor & Contract Negotiation: Act as the primary point of contact for mechanical, HVAC, electrical, and office supply vendors. Negotiate best-price contracts and manage vendor insurance compliance.
  • Event & Culture Coordination: Lead the Events Committee to execute firm-wide social events, retirement parties, and client hospitality. Manage internal communications and content for the firm’s weekly newsletter.
  • Budgeting & Finance: Maintain and update yearly budgets for building occupancy, utilities, postage, and firm activities. Review and approve departmental expenditures.
  • Safety & Compliance: Administer the firm’s Safety Committee and oversee the conflict check process for incoming cases in partnership with Department Chairs.


Qualifications

  • Bachelor’s degree in Business Administration or a related field.
  • 5–7 years of prior experience in an Operations or Management role with direct reports, preferably within a law firm or professional services environment.
  • A professional, outgoing demeanor with a "player-coach" mentality and the ability to serve as a trusted colleague to the management team.
  • Working knowledge of Microsoft Excel, Word, and Outlook; ability to manage telephone and copier systems and modern filing structures.
  • Strong organizational skills, ability to multitask in a fast-paced environment, and a high level of discretion regarding confidential firm matters.
