Stradley Ronon is seeking a detail-oriented, analytical, and tech-savvy Operations Analyst to join our Philadelphia headquarters to provide comprehensive support to our Information Technology Department. Reporting to the Chief Information Officer (CIO) and providing ad-hoc support to the department Directors, this person will support key operational processes related to budgeting, travel, purchasing, expense processing, asset management, and data analysis.
DUTIES AND RESPONSIBILITIES:
Purchasing / Invoice Processing / Budget Maintenance (40%)
- As requested, purchase products and services through preferred vendors.
- Responsible for processing 60+ invoices per month and coordinating with accounts payable staff and vendors to resolve outstanding balances, late fees and suspension notices.
- Prepare, monitor, maintain and reconcile the IT operating budget.
Research / Document Preparation / Data Analysis (20%)
- Assist with drafting and editing meeting summaries, organizational charts, vendor communications, process diagrams, reports and presentations using Microsoft Word, Visio and PowerPoint.
- Perform complex data analysis using Microsoft Excel.
- Compile key performance data for IT operations, analyze the data and deliver an executive report to the CIO to enable decision-making.
- Perform research on specific products, services and topics.
- Using Microsoft Forms, create online surveys to gather data.
Special Projects (20%)
- Assist the Chief Information Officer with strategic department initiatives (e.g., development of an IT department playbook for large-scale acquisitions, transforming IT operations through AI and automation, etc.)
Asset Management (15%)
- Assist department Directors with tracking, auditing and reporting of IT assets including accurate location of high-value assets and compliance with software license agreements.
Administrative Support (5%)
- Reserve conference rooms, organize department meetings, coordinate travel plans and provide other support as necessary.
- Update content on the IT department Stradosphere pages.
- Other duties as assigned.
EXPERIENCE AND SKILLS:
- College degree and 2+ years of experience supporting the operations of a small or mid-size technology-forward business; experience working in a start-up is considered a differentiator.
- Previous experience working with a technology or consulting business is a plus.
- Demonstrated experience supporting executives and using discretion when handling confidential information.
- Frequent contact with internal customers and vendors; must be adept at building relationships and embracing a service-first attitude.
- Knowledge of budgets, purchasing and invoice processing is essential.
- Intermediate knowledge of Microsoft Word 2016/365, Visio 2016/365, Excel 2016/365, PowerPoint 2016/365 and Outlook 2016/365 required.
- Experience using GenAI technologies (e.g., Microsoft Copilot, ChatGPT, Claude, etc.) in your daily work.
- Strong customer focus with excellent interpersonal skills; respectful and team-oriented, assertive but tactful, receptive to feedback and excited about continuous improvement.
- Excellent work ethic, strong sense of ownership for this role, including doing what is needed without being asked, and following through.
- Must be able to work independently but collaborate within a decentralized team.
- A high degree of interest in technology and how it is applied in business will be immensely helpful.
- Comfortable with shifting priorities.
- Strong analytical, problem-solving, organizational and planning skills.
- Highly effective at time and task management.
