Job Title: Operations Specialist – Risk & Assurance Operations

Location: Hybrid (3 days onsite / 2 days remote)- Dallas, TX

About the Role:

We are seeking an Operations Specialist to support the Risk & Assurance Operations team in driving consistency, efficiency, and high-quality deliverables across the department. This role sits at the intersection of AI, technical writing, and department operations, making it ideal for someone who thrives in a fast-paced environment and enjoys improving processes through innovation.

This individual will work closely with senior leadership to create executive-level materials, streamline workflows using AI-enabled tools, and support critical department operations including reporting cycles, training coordination, and documentation standards.

This is a highly visible role supporting leadership and Audit Committee reporting, requiring strong communication skills, exceptional organization, and the ability to transform complex information into polished, executive-ready deliverables.

Key Responsibilities:

  • Utilize AI-enabled tools and emerging technologies to improve reporting, content development, and operational efficiency
  • Research, evaluate, and implement AI solutions that enhance departmental workflows and procedures
  • Draft, edit, and prepare reports, presentations, memos, and executive-level materials for leadership and Audit Committee meetings
  • Consolidate complex data from multiple stakeholders into clear, polished PowerPoint presentations, Word documents, and Excel reporting
  • Create and maintain departmental templates, formatting standards, and style guides across Word, Excel, and PowerPoint
  • Maintain dashboards, tracking tools, and reporting schedules to ensure visibility into department performance and deadlines
  • Develop policies, procedures, charters, templates, and records retention documentation
  • Coordinate department calendars, recurring deliverables, and operational workflows
  • Manage training records, certification documentation, and in-house Continuing Professional Education (CPE) tracking
  • Facilitate training sessions and support professional development initiatives

Qualifications:

  • Bachelor’s degree required
  • 3+ years of experience in operations, business management, program coordination, or a related field
  • Strong technical writing and presentation development experience, especially within PowerPoint, Word, and Excel
  • Experience utilizing AI tools to improve processes, reporting, and operational workflows
  • Excellent organizational, communication, and project coordination skills
  • Ability to manage multiple priorities and work directly with senior leadership
  • Strong attention to detail and ability to produce polished, executive-facing materials

Preferred Qualifications:

  • Background in audit, risk, compliance, or financial services
  • Experience supporting executive leadership or Audit Committee reporting
  • Familiarity with records retention, training coordination, and departmental operations management
