Office Manager (Whittier, CA)
We are a premier commercial landscaping and property exterior firm seeking a high-energy, organized Office Manager to join our Whittier team. This is a vital "hub" role—you are the glue that holds our field operations and administrative departments together.
This is a full-time, 100% onsite position (Monday–Friday) based in our Whittier, CA office.
The Role
As the Office Manager, you will oversee the daily administrative heartbeat of our branch. You’ll be the first point of contact for our clients and the primary support system for our Project Managers and field crews. Key Responsibilities
- Front Office Leadership: Manage all incoming communications (phone and email), directing inquiries to the appropriate departments and ensuring a professional "first impression" for our brand.
- Operational Support: Assist the Maintenance and Enhancement teams with scheduling, work order processing, and tracking job progress through our industry software.
- Financial Administration: Coordinate local Accounts Payable/Receivable, including processing invoices, managing vendor accounts, and assisting with payroll data entry for field staff.
- Purchasing & Inventory: Maintain office and breakroom supplies; assist production managers in ordering field materials and coordinating deliveries.
- Onboarding & Compliance: Facilitate new hire paperwork for field crews, maintain safety training records, and ensure all insurance and permit documentation is up to date.
- Facility Management: Keep the Whittier office running smoothly, including managing mail, coordinating equipment maintenance, and organizing branch meetings/events.
Qualifications
- Experience: 3+ years of office management experience, preferably within the landscaping, construction, trades industries, or something similar
- Location: Must be able to commute to our Whittier office 5 days a week.
- Tech Savvy: Proficiency in Microsoft Office (Excel is a must) and experience with CRM or Project Management software.
- Bilingual (Preferred): Proficiency in Spanish is a plus but not required, as it helps in communicating effectively with our diverse field teams.
- Attributes: You are a "problem-solver" by nature, able to pivot quickly when the weather changes or a high-priority work order comes in.
