The Role
As the Office Manager (contract) for TRADEMARK’s San Francisco headquarters, you are the operational heartbeat of our workspace and production studios. This is an on-site contract role responsible for ensuring the physical environment, inventory systems, and daily logistics behind our work run smoothly, predictably, and at a professional standard that reflects the caliber of the experiences we deliver.
This role sits at the intersection of office operations, facilities management, and inventory systems. You enable our producers, designers, and leadership team to focus on delivering extraordinary work by ensuring the environment around them is organized, stocked, functional, and reliable.
This role is ideal for someone who takes pride in building systems, maintaining order, and being the person everyone relies on to keep things running. It is designed for someone who wants to grow in operations, office, or facilities, rather than into event production.
What You’ll Do
Office Operations & Workplace Experience
- Own the day-to-day operation of the San Francisco office and studio space
- Ensure all food, beverages, and office supplies are fully stocked and replenished as needed
- Manage ordering, tracking, and vendor coordination for office and facility needs
- Greet visitors, answer the door, and manage incoming and outgoing packages and deliveries
- Maintain a clean, welcoming, and professional environment across all shared spaces
- Run end-of-day resets, including trash removal, dishwashers, and workspace readiness for the next day
Inventory, Storage, and Asset Management
- Maintain and update the office and production storage inventory as systems are built and expanded
- Catalog, label, and organize assets in Studio A and storage areas
- Track where items live, when they move, and when they return
- Partner with production teams to ensure equipment, props, and materials are properly stored and easy to locate
- Help implement and maintain the storage inventory system to support long-term scalability
Operations Support & Team Enablement
- Provide hands-on support to office and production teams as needed
- Run office and production errands as required
- Provide hands-on support for any event prep needed, including setup, breakdown, and logistics
- Help onboard new people to our SF office, systems, and workflows
- Identify operational gaps and propose improvements to make the office run more smoothly

What You’ll Bring
- 2+ years of experience in office management, operations, facilities, or administrative roles
- Experience supporting a fast-paced, high-growth, or creative environment
- Proven ability to manage multiple priorities while maintaining attention to detail
- Experience managing inventory, supplies, or physical assets in a professional environment
- Strong organizational, time management, and multitasking skills
- Proficiency with Google Workspace, Slack, and office management or inventory tools
- Ability to anticipate needs, solve problems, and work independently
- Strong communication and interpersonal skills
- Experience working cross-functionally with multiple teams
- Ability to lift, move, and organize materials in a studio or office environment
- Valid driver's license, clean driving record, and reliable auto or truck
- Availability to work flexible hours as needed to support office and production schedules

- Take ownership of the details that keep the office running, from vendor coordination and package management to end-of-day resets and workspace readiness
- Anticipate needs before they become problems, proactively identifying gaps, replenishing supplies, and flagging operational issues early
- Bring structure and consistency to Studio A and storage areas through clear labeling, thoughtful organization, and reliable inventory practices
- Support producers, designers, leadership, and visitors with professionalism, responsiveness, and a service-minded approach
- Balance daily office needs with hands-on production support, errands, and event prep without losing sight of priorities or standards
- Communicate clearly across teams, keeping people informed, aligned, and confident that operational needs are being handled
- Improve the way the office functions over time by noticing what is inefficient, proposing practical solutions, and helping build scalable systems
