Talon Hiring Solutions has a client in the Hoover, AL that is looking for a Office Manager to join the team. In this role, you will oversee administrative and organizational functions that support our mission of designing innovative and inspiring spaces. You’ll play a critical part in ensuring smooth day-to-day operations, aligning internal processes with business and project goals, and fostering a collaborative, high-performing culture.
What You’ll Do
- Lead daily administrative operations, ensuring efficient workflows, clear communication, and consistent standards across the firm
- Develop, implement, and continuously improve administrative policies, procedures, and systems to support project delivery
- Manage and mentor administrative staff, including hiring, training, performance management, and workload distribution
- Partner with leadership on budgeting, financial forecasting, and operational planning
- Collaborate with project managers to support project budgeting, contracts, and compliance with public-sector and procurement requirements
- Provide administrative support for architectural projects, including project setup, documentation standards, and coordination with school districts and regulatory agencies
- Oversee IT vendor relationships, including system enhancements, support, and training initiatives
- Coordinate bid document preparation and assign coverage as needed
- Maintain commission calculations and tracking
- Manage business licenses and partner license renewals
- Oversee office facilities and building maintenance
What You Bring
- Bachelor’s degree in Business Administration, Management, or a related field
- 7+ years of administrative leadership experience within an architectural, engineering, or construction (AEC) environment
- Strong leadership, communication, and organizational skills
- Experience with financial systems, ERP/CRM platforms, and Microsoft Office Suite
- Ability to manage multiple priorities, meet deadlines, and drive operational improvements
- Knowledge of AIA contracts, public procurement processes, and project accounting (preferred)
- Proven ability to build strong relationships across cross-functional and multidisciplinary teams
