Compensation: $25–$27/hour (Contract-to-Hire)

Work Schedule: Monday–Friday, 8:30 AM – 4:30 PM

Job Description:

The Office Manager will play a key role in supporting daily business operations and providing direct administrative and financial support to leadership. This position is responsible for overseeing office functions, maintaining financial records, coordinating vendors, and assisting with membership and event-related activities. This is an excellent opportunity for someone who enjoys wearing multiple hats in a small, team-oriented environment.


Key Responsibilities:

Administrative & Office Operations:

  • Maintain and organize company records, including financial and corporate documentation
  • Coordinate preparation and filing of internal documents such as reports, forms, and compliance materials
  • Manage office supply inventory and place orders as needed
  • Handle incoming mail, phone calls, and general office correspondence
  • Coordinate shipments and deliveries, ensuring cost-effective and timely processing
  • Liaise with building management to address office maintenance, safety, and operational needs


Accounting & Bookkeeping:

  • Support day-to-day bookkeeping activities including invoicing, payments, and deposits
  • Process accounts payable and accounts receivable transactions
  • Assist with reconciliation and ensure accuracy of financial records
  • Maintain organized financial documentation and reporting


Membership & Data Management:

  • Assist with maintaining and updating member or client records within internal systems
  • Support billing processes and follow up on outstanding payments
  • Help onboard new members/clients and ensure accurate data entry


Event & Conference Coordination:

  • Support planning and execution of company events and conferences
  • Manage registration tracking and attendee communications
  • Assist with preparation of materials and onsite coordination as needed
  • Travel to conferences periodically (travel expenses covered)


Additional Support:

  • Assist leadership with ad hoc projects and operational initiatives
  • Provide general administrative support to ensure smooth day-to-day operations


Qualifications:

  • Minimum of 2+ years of experience in an administrative or office management role
  • Exposure to accounting or bookkeeping functions required
  • Experience in nonprofit or association environments preferred
  • Strong written and verbal communication skills
  • High level of organization, attention to detail, and ability to multitask
  • Ability to handle confidential information with discretion
  • Proficiency with Microsoft Office and general business systems (accounting software experience a plus)
  • Self-starter with a dependable and professional work ethic
