Kessler PR Seeks a Full Time Office Manager and Executive Assistant in Our Monmouth County Office

Kessler PR Group is an award-winning, highly regarded, boutique public relations firm specializing in crisis communications, reputation management, litigation support and media relations.


This is a temporary-to-hire position, with a three-month trial period leading to permanent status.

We seek a candidate with experience in office administration and executive assistance. A communications background is helpful but not critical. The position is five-day, full-time and hybrid, with Monday through Thursday in our Monmouth County, NJ office. This is not negotiable.


Key Responsibilities:

Office Management and Executive Assistance:

  • Provide comprehensive support to the CEO and staff. Handle day-to-day operations, maintain a well-organized office environment, and ensure seamless communication across our team
  • Managing calendars, scheduling appointments, and coordinating travel arrangements, vendors, office supplies, equipment and maintenance


Financial Management:

  • Tracking and submitting office expenditures, employee expenses, and processing accounts payables / receivables
  • Track client billables and send out invoices utilizing QuickBooks


Client Liaison:

  • Act as a point of contact for clients, demonstrating excellent communication and interpersonal skills


Technology and IT Support:

  • Managing / Administrating office technology and providing basic IT support
  • Troubleshooting technical issues and coordinating with IT providers as needed


Proofreading and Editing:

  • Reviewing PR materials, press releases and client communications / contracts for accuracy, grammar and consistency

 

Desirable Skills and Attributes:

  • Significant Office Administration experience is a must, particularly as relates to office financial management
  • Discretion, maturity, and business/professional social skills
  • Comfortable juggling multiple tasks, initiatives, and projects and delivering on deadline
  • Expertise in Cloud computing, IP Phone System and basic IT support
  • Proficiency in MS Office suite, QuickBooks, and Back Office Administration
  • A political junkie/follower of New Jersey local and regional political/legal news is a plus
  • A sense of humor is a bonus; a big ego is not
