Job Title: Office Coordinator
Job Description

The Office Coordinator supports the human resources and sales and marketing functions by managing daily office operations, coordinating administrative tasks, and ensuring a smooth and professional workplace experience. This role involves ordering office lunches and supplies, handling mail, preparing company-wide email communications, and providing general administrative support while working closely with leadership and learning from experienced HR professionals.

Responsibilities

  • Coordinate daily office operations to ensure a well-organized and efficient workplace.
  • Order office lunches and coordinate catering needs for meetings and company events.
  • Manage the ordering, tracking, and inventory of office supplies and materials.
  • Handle incoming and outgoing mail and packages in a timely and accurate manner.
  • Prepare and distribute email blasts and internal communications to the company.
  • Provide administrative support to the HR department, including scheduling meetings and maintaining calendars.
  • Support the sales and marketing department with clerical and administrative tasks as needed.
  • Assist with scheduling and coordination of meetings, events, and project-related activities.
  • Perform general clerical duties such as document preparation, data entry, and filing.
  • Collaborate with the VP of the department and HR leadership to support departmental initiatives and projects.
  • Use Microsoft Office and other computer applications to create documents, spreadsheets, and presentations.
  • Contribute to small project management tasks by tracking timelines, organizing information, and following up on action items.
  • Demonstrate professionalism and strong communication skills in all interactions with employees and visitors.
Essential Skills
  • 1–3 years of experience in office administration or a similar administrative support role.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Strong general administrative support skills, including scheduling, coordination, and clerical work.
  • Experience in an office coordinator or administrative assistant capacity.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Computer-savvy with the ability to quickly learn new systems and tools.
  • Strong written and verbal communication skills for email blasts and internal communications.
  • High attention to detail and accuracy in handling mail, supplies, and documentation.
  • Organizational skills to maintain orderly office operations and support multiple stakeholders.
Additional Skills & Qualifications
  • Experience supporting HR, sales, or marketing teams is an advantage.
  • Basic project management skills, including tracking tasks and supporting project timelines.
  • Ability to work closely with senior leadership and maintain professionalism and discretion.
  • Interest in the beauty or cosmetics industry and innovative consumer products.
  • Desire to learn and grow into a longer-term or permanent opportunity based on performance.
Work Environment

The role is based in a fast-growing, privately held beauty company with approximately 580 employees and a strong focus on disruptive innovation and customer-obsessed product development. The office environment is dynamic and growth-oriented, having recently doubled in size across the US and UK. The Office Coordinator works as part of the HR function and supports the sales and marketing department, reporting to the vice president of the department and collaborating closely with HR leadership. The workplace uses standard office technology and Microsoft Office tools to manage communication, scheduling, and documentation. Job Type & Location

This is a Contract to Hire position based out of Wilton, CT.

Pay and Benefits

The pay range for this position is $20.00 - $22.00/hr.
