Compensation: 60,000-65,000

Position Overview

The Office Assistant will provide essential administrative and clerical support to ensure smooth daily operations within the office. This role involves managing front desk responsibilities, coordinating office activities, and assisting with meetings and events. The ideal candidate will be highly organized, detail-oriented, and able to deliver excellent customer service while collaborating with internal teams. Must be legally authorized to work in the United States.

Responsibilities

  • Serve as the first point of contact for clients, visitors, and guests; greet and direct individuals as needed
  • Manage incoming mail, packages, and courier deliveries; sort and distribute items accordingly
  • Provide general administrative and clerical support, including filing, data entry, and recordkeeping
  • Assist with office operations, including supply management and maintaining common areas (e.g., kitchen, conference rooms)
  • Coordinate and prepare meeting spaces, including scheduling conference rooms and setting up materials
  • Support the planning and execution of internal meetings and company events
  • Arrange catering for meetings, client visits, and internal events as needed
  • Assist with interview coordination, including greeting candidates and preparing meeting spaces
  • Maintain organized office systems and ensure smooth daily operations
  • Provide additional administrative support and complete ad hoc tasks as assigned

Required Experience/Skills

  • High school diploma or equivalent required; associate degree preferred
  • 1–3 years of administrative, office support, or customer-facing experience preferred
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Professional demeanor with strong customer service skills
  • Ability to multitask and adapt in a fast-paced environment
  • Basic knowledge of administrative and clerical procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with mail handling, reception duties, and general office procedures

Preferred Experience/Skills

  • Experience supporting multiple teams or departments
  • Prior experience coordinating meetings and events
  • Ability to handle confidential information with discretion
  • Strong problem-solving and time management skills
  • Comfort with learning new software and office technologies

Education Requirements

  • High school diploma or equivalent required
  • Associate degree in Business Administration or related field preferred
  • Additional coursework or certifications in office administration a plus
