Job Title: Customer Administrative Representative

Job Description

We are seeking a detail-oriented Customer Administrative Representative to join our team. The ideal candidate will be responsible for processing orders, coordinating shipments, and providing exceptional customer service. This role requires excellent communication skills, strong organizational abilities, and a commitment to ensuring customer satisfaction.

Responsibilities

  • Accurately enter and/or check customer orders in the system, verify order details, and ensure timely processing.
  • Input production information into the system.
  • Coordinate with clients and carriers on shipments and help resolve any shipping issues.
  • Respond to customer inquiries via phone, email, and chat, providing information on order status, product availability, and shipping details.
  • Address and resolve customer complaints and issues in a professional and timely manner.
  • Maintain accurate records of orders, shipments, and customer interactions.
  • Collaborate with the sales, warehouse, and logistics teams to ensure smooth order fulfillment and delivery.
  • Identify opportunities for process improvements and contribute to enhancing overall customer experience.
  • Answer phone calls, direct them to the appropriate individuals, and take messages when required.
  • Greet visitors, provide information about the company, and direct them where necessary.
  • Maintain filing systems, retrieve, and update documents.
  • Process orders, invoices, and shipments.
  • Input production and shipment data into the appropriate computer software.
  • Communicate via phone and email with staff, customers, and carriers when required.
  • Generate and distribute paperwork such as bills of lading and invoices to ensure proper communication with staff, customers, and carriers.

Essential Skills

  • Customer service experience.
  • Proficiency in computer skills and software.
  • Experience in data entry, bills of lading, and shipping.
  • Experience in an administrative, business, or manufacturing environment for 3-5 years.
  • Proficiency in Microsoft Excel, SAP, and ERP systems.
  • Experience in inventory and clerical support.
  • Customer service-oriented approach.

Additional Skills & Qualifications

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Previous experience in order entry, shipping, administrative, or customer service roles.
  • Strong proficiency in Microsoft Office and order management systems.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Attention to detail and accuracy.
  • Problem-solving skills and a customer-centric attitude.
  • Organizational skills: Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.

Work Environment

Work hours are from 8am to 5pm, five days a week, in an office environment.

Job Type & Location

This is a Contract to Hire position based out of Lemont Furnace, PA.

Pay and Benefits

The pay range for this position is $20.00 - $22.00/hr.
