JOB SUMMARY

Under the direct supervision of the Office Supervisor or Branch Manager this position provides administrative support for the commercial team in addition to answering telephones. Main responsibilities include subcontractor-related paperwork including prevailing wage filing, certified payroll reporting, working with L & I on intents / affidavits, customer billing for our Floor Maintenance division, and scheduling floor cleaning in our Maintenance division. In addition to filing and phones, performs duties such as record keeping, obtaining office supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and customers as well as internal contacts at all levels of the organization.

Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

· Organize subcontractor-related paperwork including filing intents /affidavits /prevailing wage certified payroll with L & I and related certified payroll software systems.

· Prepare customer billing for our Floor Maintenance division.

· Schedule floor cleaning for our Floor Maintenance division.

· Sorts and distributes mail.

· Answers phones for the branch.

· Orders office supplies for the branch.

· Takes messages or fields/answers all routine and non-routine questions.

· Acts as a liaison with other departments.

· Works independently and within a team on special nonrecurring and ongoing projects.

Office/Design Center: Professional, climate-controlled office environment with moderate noise levels (e.g., computers, printers, and light foot traffic).
