Position Overview
The Office Administrator (OA) provides essential administrative support across office operations, acting as a liaison between the regional team and the company’s finance and human resources Service Center. This role supports the General Sales Manager (GSM) and branch operations while embodying the company core values: Professionalism, Focus, Passion, and Responsibility.
Key Responsibilities:
Administrative & Operational Support
- Manage daily office operations including mail, shipping (FedEx/UPS), office supplies, and equipment maintenance
- Maintain organized filing systems and ensure adherence to record retention policies
- Professionally answer and route incoming phone calls
- Plan and coordinate meetings and events
- Code and submit operating expenses for GSM approval
- Support sales team with Tell-Sell calling (as applicable)
Finance & Accounting Support
- Assist Finance Shared Services with route paperwork, payroll processing, and customer account inquiries
- Perform daily balancing in the Encompass Route Accounting System and ensure documentation accuracy
Human Resources Support
- Partner with the Talent Business Partner (TBP) on HR policies and procedures
- Support onboarding (new hire paperwork), timecard tracking, recruiting documentation, and uniform coordination
- Respond to general HR-related inquiries
Compliance & Collaboration
- Ensure compliance with state and federal record retention and posting guidelines
- Collaborate across departments and share best practices
- Maintain a professional representation of the company and brand
Qualifications:
Minimum Requirements
- High School Diploma or GED required
- Strong verbal and written communication skills
- Strong mathematical and technical skills (including smartphone technology)
- Excellent organizational and time management abilities
- Ability to manage multiple priorities effectively
- Proficiency in Microsoft Office
- Fluent in English
Preferred Qualifications
- Experience in customer service, HR, office management, or accounting
- Direct Store Delivery or Route Accounting experience a plus
- Additional language skills are a plus
Physical Requirements
- Regular use of hands, reaching, talking, and hearing
- Frequent walking and sitting; occasional standing, stooping, kneeling, crouching, or crawling
- Ability to lift/move up to 25 pounds as needed
- Vision requirements include close, distance, peripheral vision, depth perception, and focus adjustment
- Exposure to moving mechanical parts and outdoor conditions
- Moderate noise level in work environment
