Office Administration Intern

About the Role

We’re a short-term rental and property management company operating a growing portfolio of Airbnb listings and long-term rental properties. We’re looking for a detail-oriented, proactive intern to support our team with day-to-day office administration so our operations and property managers can stay focused on higher-priority work.

This is a full-time, on-site role where you’ll work directly with leadership and gain real exposure to how a property management business operates.

Responsibilities
  • Keep the office stocked and running by managing office supplies, ordering day-to-day essentials, and maintaining organized common areas
  • Coordinate with third-party repair vendors, including plumbers, electricians, and HVAC technicians, by collecting quotes, scheduling visits, and following up on completion
  • Monitor license and permit expiration dates across our properties, flag upcoming renewals in advance, and assist with preparing renewal materials
  • Manage the company’s online service subscriptions and vendor accounts, including tracking renewal dates, monitoring usage, organizing account information, and helping ensure services remain active and up to date
  • Support recruiting by posting job listings across platforms, conducting initial resume screening, and coordinating interview schedules
  • Maintain tenant files, payment records, and expense logs with accuracy and confidentiality
  • Assist in preparing documents such as contracts, invoices, and government application materials
  • Handle ad hoc administrative tasks and errands as needed
Qualifications
  • Currently enrolled or recently graduated; all majors welcome, with Business, Communications, or related fields a plus
  • Fluent in both English and Mandarin, written and spoken
  • Proficient in Google Workspace or Microsoft Office, including Word, Excel, and Sheets
  • Highly organized with strong attention to detail and follow-through
  • Able to work independently and communicate proactively
  • Prior internship experience in administration, operations, or customer service is a plus
  • Valid driver’s license preferred, as occasional errands may be required
  • Must be available full-time, Monday through Friday
