Role Summary
The Medical Assistant is the connective tissue of the Aesthetx clinical experience. This role supports providers directly in exam and procedure rooms, ensures patients feel informed and cared for from rooming through discharge, and keeps the clinical environment running at the standard our patients expect. This is a high-touch, fast-paced role that demands precision, warmth, and the ability to anticipate what's needed before being asked.
Two things happen without exception every shift: every room is prepped and stocked before the first appointment, and every patient interaction reflects the Aesthetx standard of care. This role is often the patient's most consistent point of contact throughout their visit — own it.

CORE RESPONSIBILITIES
CLINICAL & EXAM ROOM SUPPORT
- Prepare exam rooms before each appointment — set up instruments, restock supplies, and confirm the room is sanitized to Aesthetx clinical standards
- Room patients efficiently: record vitals, document chief complaint, update medication lists, and confirm allergy history in Nextech EMR
- Assist providers during medical and cosmetic dermatology procedures — including pre-procedure setup, chairside support, and post-procedure breakdown
- Support minor surgical procedures (biopsies, excisions, injections) as directed by the provider — anticipate instrument needs and maintain sterile field
- Administer medications and perform clinical tasks (wound care, dressing changes, suture removal) within MA scope under direct provider supervision
- Turn over rooms promptly between patients — clean, restock, and reset to standard before the next appointment
PATIENT EXPERIENCE & FLOW
- Greet and room patients with warmth and professionalism — set the tone for the visit from the moment the patient is called back
- Communicate clearly with patients about what to expect during their visit, procedure prep, and post-visit care instructions
- Collaborate with the front office team to maintain on-time patient flow and flag any delays or scheduling issues to the Practice Manager
- Act as a calm, reassuring presence for patients who are nervous or in discomfort — escalate clinical concerns to the provider immediately
- Follow up on outstanding patient intake items (forms, consents, medical history gaps) before the provider enters the room
DOCUMENTATION & EMR
- Accurately document patient vitals, medical history, medications, and allergies in Nextech at every visit — no gaps, no shortcuts
- Record provider instructions, procedure notes, and care plan updates as directed — flag any discrepancies before the patient leaves
- Maintain HIPAA compliance in all patient interactions, documentation practices, and communication channels without exception
- Complete all end-of-day documentation and ensure charts are closed out before leaving shift
INVENTORY & SUPPLY MANAGEMENT
- Monitor exam room and procedure supply levels daily — flag shortages to the Lead MA before they impact a case
- Assist with ordering and receiving medical supplies and skincare products in coordination with the Materials Manager
- Maintain accurate inventory counts and rotate stock to minimize waste and expiration
- Report equipment malfunctions, safety concerns, or supply quality issues to the Lead MA or Practice Manager immediately
QUALIFICATIONS
REQUIRED
- High school diploma or GED required
- Prior experience as a Medical Assistant in a clinical, medical office, or outpatient setting — aesthetic, dermatology, or plastic surgery experience a significant plus
- Working knowledge of clinical workflows: patient rooming, vitals, EMR documentation, infection control, and basic procedure support
- Proficiency with or ability to quickly learn EMR systems — Nextech experience strongly preferred
- Current BLS/CPR certification required, or must be obtained within 60 days of hire
- Strong written and verbal communication skills — able to interact professionally with patients, providers, and team members at all levels
- Demonstrated ability to maintain HIPAA compliance and handle protected health information with discretion
PREFERRED
- Experience in a plastic surgery, cosmetic dermatology, or medical spa environment
- Familiarity with aesthetic treatments: injectables, laser procedures, skincare protocols, and pre/post-procedure care
- Nextech EMR experience or comparable aesthetic practice management platform
- Bilingual (English/Spanish) a plus given our Bay Area patient population
