MajorDuties

  • The incumbent independently supports multiple programs and administrative functions, providing analysis, coordination, and advisory services across assigned program areas. The position requires initiative, sound judgment, and the ability to manage competing priorities with limited supervision. Performs a wide range of program management, administrative, and analytical functions in support of assigned program areas, which may include Employee Enrollment, Classroom Scheduling, Personal Property Management, Training Acquisition, budget management, and other programs as required by organizational needs. Independently plans, coordinates, and executes program support activities, ensuring compliance with applicable policies, procedures, and established goals. Serves as a primary point of contact for assigned program areas, providing advice and guidance to managers, team members, and stakeholders on internal processes, requirements, and timelines. Monitors, tracks, and analyzes programmatic and management actions, milestones, and commitments to ensure timely completion. Identifies potential issues, discrepancies, or delinquencies and takes proactive steps to resolve them or elevate matters as appropriate. Prepares and consolidates reports, briefings, schedules, tables, and other documentation for internal and external use. Conducts research and analysis of management directives, policies, and instructions from higher level offices related to program planning, execution, evaluation, reporting, and budget formulation and execution. Interprets guidance and assists in implementing changes to processes or procedures to improve program effectiveness and efficiency. Coordinates action items and information flow among management, functional offices, and other organizational components. Ensures actions are properly assigned, logged, tracked, and followed through to completion. Analyzes trends and data within program reports and provides recommendations to support decision-making. With minimal supervision, supports budget management activities for assigned program areas, including monitoring expenditures, tracking funding actions, assisting with financial evaluations, and coordinating with managers and staff on budget execution and resource planning. Serves as a Contracting Officer's Representative (COR) for out-of-agency contracts related to regulatory standards training or other assigned programs. Participates in acquisition planning, develops statements of work, performs technical evaluations of contractor proposals and deliverables, monitors contract performance, processes modifications, and coordinates with acquisition staff. May serve as a government purchase card holder to support organizational requirements. Uses a variety of office automation tools, databases, and tracking systems to manage information, generate reports, and support program operations. Attends meetings, program reviews, and working groups; documents findings; and provides analytical and coordination support to facilitate successful outcomes. Maintains effective working relationships with internal staff, managers, and external stakeholders. Contacts may include resolving routine to moderately complex issues, explaining program requirements or regulations, gathering information, and coordinating actions across organizational boundaries. Performs other duties as assigned.
