Litigation Legal Secretary


A leading law firm is seeking an Attorney Practice Coordinator to provide high‑level administrative and practice support for multiple attorneys within a fast‑paced litigation environment. This role requires exceptional organizational abilities, strong communication skills, and advanced knowledge of court procedures and legal document production. The position is based in Seattle, WA and follows a hybrid work schedule (2–3 days in-office per week).


Compensation

In accordance with Washington pay transparency guidelines, the anticipated hourly range is $48.10–$53.84, depending on experience and qualifications. Employees are eligible for performance-based incentives and a comprehensive benefits package.


Key Responsibilities

  • Coordinate workflow and support needs between attorneys, internal administrative teams, and cross‑departmental partners.
  • Submit clear, complete task requests and instructions for shared support teams.
  • Act as a central communicator for case teams to avoid duplicate work or requests.
  • Review, calculate, and verify deadlines based on court rules and notify attorneys proactively.
  • Create, update, and maintain matter records and digital workspaces.
  • Prepare, format, and finalize Tables of Contents (TOCs) and Tables of Authorities (TOAs) using specialized software.
  • Manage the filing and service of legal documents with courts and administrative agencies, including e‑filing.
  • Organize and maintain documents in the firm’s electronic document management system.
  • Set up new matters and clients accurately and in compliance with internal standards.
  • Coordinate transcription projects and collaborate with office services on print and assembly needs.
  • Maintain updated contact lists and entries within internal CRM systems.
  • Submit daily task logs summarizing completed work and active projects.
  • May assist in reviewing and revising attorney billing pre‑bills.


Qualifications

  • 5+ years of litigation legal secretary or similar legal administrative experience required.
  • Strong ability to support multiple attorneys and manage simultaneous deadlines.
  • Excellent time management, prioritization, and task‑anticipation skills.
  • Clear and professional written and verbal communication abilities.
  • Advanced experience producing TOCs and TOAs using tools such as Best Authority.
  • Deep familiarity with state and federal court rules, ECF systems, and filing standards.
  • Proficiency with Microsoft Office, Outlook, Adobe, and legal document management platforms (e.g., NetDocuments).
  • Experience using dictation or document production tools (e.g., BigHand).
  • Solid understanding of legal terminology and litigation workflows.
