Program Manager – Outside Counsel Relationship Management
The Legal Department is responsible for the provision of legal services to the Corporation and is organized by practice groups that generally align with the Corporation’s lines of business and corporate staff areas. This structure encourages legal teams and businesses and staff areas to discuss Legal, regulatory, and business developments effectively and in a timely manner.
The Outside Counsel Relationship Management team manages the Legal department’s relationships with its outside counsel, including sourcing and establishing new law firm relationships, negotiating engagement terms, and all other operational terms related to these relationships, and serve as a central point of contact for escalation of any questions, issues, or concerns.
Job Description
The ideal candidate will support the Outside Counsel (OCRM) team’s program management needs and ideally have experience with managing programs and projects in a high-volume, fast-paced environment for an executive audience.
The role requires significant cross-functional collaboration, including, but not limited to, various LOB lawyers, relevant Compliance contacts, information technology partners, internal business partners, and senior stakeholders at outside law firms. The candidate will ensure the team works very closely with lawyers and other stakeholders across the Legal department and our law firms to maintain a successful program and ensure the firm remains efficient in its day-to-day legal operations while being forward looking and identifying opportunities for process improvement.
The ability to distill complex process concepts into digestible and understandable tracking components is critical to this position. The candidate must have strong analytical and collaborative skills, be able to work independently and be a true "self-starter." The candidate must also be able to communicate effectively and succinctly with all levels of management. Intermediate to Advanced level of experience with Microsoft Office, particularly Excel and PowerPoint, is required.
Primary Job Responsibilities
- Have an organized approach to ensure projects and deliverables associated with the projects are closely monitored, tracked, and managed to meet business, regulatory, compliance, and audit requirements
- Data visualization will be a component of this role. A working knowledge of how to use (but not build) Tableau coupled with Business Objects and intermediate to advanced Excel skills are strongly preferred
- Work closely with senior attorneys to strategize and spearhead various initiatives and business improvements related projects
- Ensure the practices are employed to support regular follow ups on project tasks, maintaining project timelines, managing project budgets, and ensuring projects are properly resourced
- Prepare executive presentations and documentation; including but not limited to supporting Project Kickoffs, regular Project Status, maintaining Project Storyboards and the team’s book of work. For this an advanced knowledge of PowerPoint/presentation preparation is required
- Promote effective use of firm designated tools and processes including SharePoint and maintain team’s SharePoint site
- Identify and support the development of new capabilities
- Identify/develop and report on metrics to best manage the program
- Identify, report on and manage first-level escalations from outside counsel
- Run project meetings, issue resolution meetings and other meetings as required
Qualifications & Skills
- Undergraduate degree or equivalent work experience
- 2+ years program management or project management experience preferred
- Intermediate to advanced Microsoft Office experience, particularly Excel and PowerPoint
- Works effectively with a diverse group of stakeholders including senior leaders
- Solves problems with collaboration, creativity, and practicality
- Displays strong analytical, organizational, and communication skills
- Displays a high degree of initiative and self-direction
- Exercises decisive, sound judgment in a very fast-paced environment
- Easily adapts to change and comfortable with data aggregation
- Knowledge of financial services laws and regulations is a plus
- A proven record of successfully handling multiple projects and supporting multiple executive sponsors in a fast-paced, high-profile, and rapidly evolving environment
- Experience formulating goals with senior leaders and aligning the objectives of a portfolio of projects around these goals
