A respected mid-sized law firm in Menlo Park is seeking a Legal Assistant/Paralegal to support attorneys across real estate, land use, and litigation practices. Position Overview
This role combines transactional, litigation, and administrative responsibilities. You’ll play a key role in keeping matters organized, deadlines on track, and client service running smoothly across multiple practice areas.
Key Responsibilities
Real Estate & Land Use Support:
- Assist with residential and commercial transactions, including purchase/sale agreements, leases, and easements
- Coordinate document signings, notarizations, and recordings
- Support public records requests and conduct zoning, permitting, and mapping research through city/county systems
- Gather and review property-related information (e.g., title reports and related data)
Litigation Support:
- Prepare, format, and electronically file pleadings and discovery in state and federal courts
- Coordinate service of process and manage discovery timelines
- Organize document productions and prepare hearing and trial materials (both digital and physical)
- Schedule court reporters, videographers, and assist with exhibits and witness coordination
Administrative & Operational Duties:
- Manage attorney calendars, meetings, hearings, closings, and public hearings
- Draft, format, and proofread legal documents and correspondence
- Open and maintain client matters, ensuring accurate file and document management
- Handle engagement letters and conflict checks
- Track key deadlines and maintain reminder systems
- Support time entry and assist with billing processes (including LEDES formats)
- Serve as a point of contact for clients, counsel, agencies, and vendors
Qualifications
- Minimum 3+ years of experience in a law firm environment (real estate and/or litigation preferred)
- Working knowledge of court procedures, e-filing systems (state and federal), and real estate/land use processes
- Strong technical skills: Microsoft 365 (Word, Outlook, Excel, PowerPoint); experience with document management systems (e.g., ProLaw or similar), e-filing platforms, and e-billing tools
- Familiarity with tools such as DocuSign, CAR Forms, Essential Forms, or similar platforms is a plus
- Excellent written communication, proofreading, and organizational skills
- Ability to manage competing priorities, maintain confidentiality, and provide high-level client service
