Duties

Prepares and Files Legal Documents

Drafts legal documents such as complaints, petitions, notices, settlement agreements, and subpoenas. Modifies documents and forms as appropriate for individual cases. Finalizes legal documents ensuring compliance with applicable rules of procedure and proper format, case heading, signature block, grammar, spelling, punctuation and pagination. Prepares letters, memoranda, and certificates of service necessary to transmit and/or file pleadings and other documents. Ensures the correctness of signatures, number of copies, exhibits, and attachments, and that proper service is made to all appropriate parties.

Confirms and complies with the federal rules of civil procedure and local rules of U.S. District Courts, and with the appropriate rules of procedure for administrative tribunals. Apprises supervisors and co-workers of changes in the procedural rules that could impact the official business of the Office. Prepares documents to be filed electronically with the electronic filing systems utilized by the U.S. District Courts, Occupational Safety and Health Review Commission, Federal Mine Safety and Health Review Commission, and other forums, ensuring compliance with all filing rules and protocols, and timely files and serves such documents.

Provides Administrative Support

Generates documents and memoranda to close cases in accordance with SOL and office policy, ensuring that files are complete and organized in the correct format. Forwards appropriate closing documents to proper individuals in the Solicitor's office and at client agencies and returns investigative files to the client agency.

Compiles and organizes materials and exhibits for use in written discovery, depositions, and court appearances. Prepares correspondence for signature by an attorney or paralegal specialist, such as transmittals, acknowledgements, and requests for information concerning case matters. Uses software technology such as spreadsheets and computer graphics to manage, track or otherwise organize case information.

Handles details necessary for the appearance of expert and fact witnesses. Prepares subpoenas and subpoenas duce tecum, drafts necessary correspondence, obtains appearance and travel data, procures signatures, and prepares travel vouchers. Locates and obtains space and logistical support for temporary on-site depositions or trial preparation. Arranges meetings and conferences, including preparing schedules, agendas and attendance lists. Makes travel arrangements for attorneys and paralegal specialists and prepares travel authorizations and travel vouchers.

Maintains the Docket

Performs docketing duties. Opens new cases and matters in electronic case management and docketing systems, and enters all relevant data for the case or matter, such as the type of matter, specific activity, assigned attorney or paralegal, and supervisor or counsel. Maintains information reflecting the current status of each case, the progress of the case through the evaluation and litigation stages, and the proper disposition of the case. Works with attorneys and paralegal specialists to ensure that necessary information for a case has been entered into docketing systems.

Processes and routes the mail and dockets information shown in orders, decisions, motions and correspondence. Runs reports from electronic data systems necessary for the efficient operation and management of the office, such as reports reflecting all open cases, upcoming hearings and trial dates, and cases ripe for closure.

Provides Customer Service

Displays tact, diplomacy, courtesy, and patience in all communications and interactions with coworkers, managers, supervisors, and internal/external customers. Answers telephones, responds to emails, greets in-person guests, and routes communications to the appropriate personnel. Assists attorneys and paralegal specialists by obtaining information and responding to inquiries about cases or other matters from the courts, client agencies, members of the public, witnesses, employees, and employers. Provides accurate, timely responses to requests for assistance and information, and communicates requests for action to responsible personnel who can satisfy the request. Follows up on requested actions.

Qualifications

Applicants must have 52 weeks of specialized experience equivalent to at least the next lower grade level, GS-06, in the Federal Service. Applicants must perform majority of the following.

Specialized Experience is defined as:

  • Preparing a variety of legal documents such as complaints, orders, notices, motions, stipulations, agreements, petitions, summons, warrants, subpoenas, etc.
  • Organizing documents and handling case management in compliance with agency and office operating procedures.
  • Using automated legal research capabilities such as Westlaw.
  • Familiarity with legal terminology and ability to identify and comply with filing procedures for various courts and administrative tribunals.
  • Using programs such as Word, Adobe, and Excel to create and maintain automated filing and case tracking systems.
  • Creating and maintaining spreadsheets to track and organize case information.
  • Scheduling witnesses for depositions.
  • Making travel reservations and submitting travel reimbursement vouchers through an online booking system.
