Job Purpose:

The Legal Assistant will provide essential legal and administrative support to attorneys handling high-volume mass tort and pharmaceutical litigation. This role is responsible for managing new case intake, medical record processing, client communication, and case documentation to ensure timely filings and compliance with court deadlines. The ideal candidate is highly organized, detail-oriented, comfortable with repetitive tasks, and able to thrive in a fast-paced, deadline-driven environment.


Key Responsibilities:

  • Process and manage a high volume of new case files (20–30+ per day).
  • Open, organize, and maintain accurate electronic and physical case files.
  • Request, track, and follow up on medical records and related authorizations.
  • Address record issues, including additional authorizations, no-record notices, and provider follow-ups.
  • Review and organize incoming medical and billing records for attorney use.
  • Prepare short-form complaints and assist with case filing and service.
  • Assist with guardian ad litem filings for minor clients when applicable.
  • Conduct extensive client communication by phone, email, and letter to gather information.
  • Complete client fact sheets, requiring 1–3 hours of phone communication per client.
  • Schedule and coordinate calls and appointments with clients.
  • Ensure all fact sheets and documentation are completed within court deadlines.
  • Prepare and proofread legal documents, correspondence, and filings for accuracy.
  • Maintain detailed calendaring of deadlines and case milestones.
  • Monitor case progress and notify attorneys of upcoming deadlines.
  • Perform data entry, typing, and document management tasks efficiently.
  • Handle confidential information with professionalism and discretion.
  • Perform other duties as assigned to support the legal team.


Minimum Requirements:

  • High school diploma or GED.
  • Full-time availability; no part-time or remote work options.
  • Ability to work in-office on a consistent schedule.
  • Strong professional phone presence and communication skills.
  • Proficient typing and data entry skills.
  • Ability to perform repetitive administrative tasks with accuracy.
  • Strong organizational and time-management skills.
  • High attention to detail and commitment to quality work.
  • Ability to manage multiple priorities in a high-volume environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Willingness to work overtime when necessary to meet deadlines.
  • Ability to handle sensitive and confidential information.
  • Ability to lift and carry up to 25 lbs.


Preferred Qualifications:

  • Bachelor’s degree in a related field.
  • Experience in mass tort, pharmaceutical, or complex litigation.
  • Familiarity with medical records and case intake procedures.
  • Experience preparing complaints, fact sheets, and legal filings.
  • Prior experience working in a legal or professional office-setting.
  • Knowledge of state and federal court procedures.

This is a full-time, in-office position based in Houston, Texas.
