Estate Planning, Trust and Probate Law Firm, LLC is seeking a full-time Legal Assistant to support attorneys with estate planning, probate, and related legal matters.

Position Overview

The Legal Assistant will perform substantive legal support work under the supervision of the attorney assigned to each matter. This includes information gathering, file organization, client communication, document preparation, court filing, scheduling, and administrative support needed to move client matters forward efficiently.

This is an important role for someone who is highly organized, professional, detail-oriented, and comfortable communicating with clients, courts, financial institutions, and third parties.

Reporting Relationship

The Legal Assistant will work under the direction of one or more assigned attorneys. The employment relationship with the Firm is managed by the Owner.

Important Limitation on Legal Advice

Legal Assistants may not practice law or provide legal advice. All work must be performed in support of, and under the direct supervision of, an attorney. The Legal Assistant must be careful when communicating with clients not to answer legal questions, predict legal outcomes, or recommend legal action unless specifically directed by an attorney.

Key Responsibilities

Responsibilities include:

  • Drafting and mailing cover letters and routine correspondence
  • Recording matter information and organizing client files
  • Scheduling and calendaring meetings, hearings, deadlines, and other events
  • Communicating with clients, courts, financial institutions, and third parties under attorney direction
  • Filing court documents
  • Processing incoming and outgoing mail
  • Serving court documents and notices
  • Scanning estate planning documents
  • Recording deeds
  • Binding and delivering estate planning documents
  • Processing bond applications and bond cancellations
  • Processing EIN applications
  • Closing case files

Required Qualifications

The successful candidate must have:

  • High school diploma or GED
  • Competency with Microsoft Word, Outlook, and Excel
  • Strong organizational skills
  • Excellent attention to detail
  • Professional and confident communication skills
  • Ability to follow attorney direction carefully
  • Comfort making repeated follow-up calls when necessary
  • Ability to maintain a clean, organized workspace and manage multiple matters at the same time

Preferred Qualifications

Preference will be given to candidates with:

  • Prior law firm experience
  • Experience with probate matters
  • Experience with estate planning matters
  • Experience with court filings, deed recording, client file management, or legal document processing

Ideal Candidate

The ideal candidate is the type of person who is usually 10 minutes early, cannot stand a cluttered workspace, and takes pride in staying organized. This person is professional, dependable, and confident on the phone. They are not easily intimidated by difficult conversations and are willing to call someone multiple times when follow-up is needed.

Compensation and Benefits

  • Salary: $52,000 to $63,000, depending on years of relevant experience
  • Schedule: Full-time
  • Benefits: Paid vacation
