About the Role: Full-Time, Exempt in-Office: Irvine, CA Annual: $55,000- $80,000 + Bonus


Investment Operations Coordinator

We are seeking a highly organized, detail-oriented, and analytically minded Investment Operations Coordinator to support the Investments team through proactive management of the DealPath platform. This role serves as the primary internal owner and administrator of DealPath and related investment operations processes, responsible for ensuring all deal-related information is accurate, timely, and consistently tracked, while enhancing the usability of investment pipeline data and reporting across the department.


The ideal candidate takes pride in operational excellence, process management, systems administration, and detailed analytical work. This role is well suited for an individual who values organization, consistency, accuracy, and long-term ownership of processes and reporting systems.


Essential Job Duties

  • Serve as the primary administrator and internal subject matter expert for DealPath, including management of data fields, dashboards, reporting functionality, and overall platform usability.
  • Ensure the accuracy, consistency, and completeness of investment pipeline data within DealPath, maintaining standardized data entry practices across the department.
  • Track investment activity and live deals with a high degree of precision, ensuring transaction milestones, operator information, key notes, and pipeline updates are consistently captured.
  • Proactively identify and implement improvements to DealPath workflows, reporting processes, data organization, and overall platform usability.
  • Collaborate with DealPath support and internal users to troubleshoot issues, implement enhancements, and remain current on platform features and best practices.
  • Develop and maintain dashboards, recurring and ad hoc reports, summaries, and presentation materials for the Investments team and Executive leadership using DealPath, Microsoft Excel, Word, and PowerPoint.
  • Conduct research on prospective acquisition targets, operators, and markets utilizing industry platforms such as NIC MAP Vision, LivingPath, regulatory surveys, company websites, news sources, online reviews, and other databases.
  • Organize and maintain market intelligence, operator research, pipeline documentation, and other investment-related records and reporting files.
  • Work with Investment team members to ensure accurate and timely reflection of deal status and progress.
  • Serve as the liaison between the organization and DealPath to implement any necessary changes to the user interface.
  • Attend DealPath trainings and stay current on new features and best practices.


Other Job Functions

  • Stay updated on industry regulations and compliance requirements related to investment activities.
  • Research and gather information for various departments as directed by management.


Qualifications & Requirements

  • Must be able to work in the Irvine office five days per week.
  • Exceptional attention to detail, organizational skills, and follow-through, with the ability to manage multiple priorities with accuracy and consistency.
  • Strong analytical, problem-solving, and critical thinking abilities combined with a process-oriented mindset.
  • Comfortable learning, managing, and improving technology platforms, reporting tools, and operational systems.
  • Proactive mindset with a willingness to improve processes and systems continuously.
  • Experience with CRM, pipeline management, or deal tracking software preferred.
  • Proficiency in Microsoft Excel and strong working knowledge of Word and PowerPoint.
  • Strong written and verbal communication skills with the ability to work independently and collaborate effectively across teams.


Education & Experience

  • Bachelor's degree preferred (not required), ideally in Business, Real Estate, Finance, Economics, or a related field.
  • 0–5 years of relevant experience in operations, reporting, project coordination, executive support, or related administrative/analytical functions, including internships or entry-level roles in real estate, finance, or operations.
  • Experience working with data management, reporting systems, or operational platforms preferred.
  • Experience with CRM or deal tracking systems (e.g., DealPath, Salesforce, HubSpot) is a strong plus but not required.
  • Real estate or senior housing industry experience is a plus.


Physical Requirements

This position may require the ability to lift and carry up to 25 pounds, stand or sit for extended periods, and perform typical office-related tasks.
