Job Description


Primary responsibilities:

  • National Coordination of New Hire \ Replacement PC Builds for all 5 Regions
  • Ordering and tracking PCs for new hires or replacements nationally
  • Coordinate with SHI partners for ordering, tracking, and delivery of new PC’s and peripheral devices
  • Maintain accurate Buildsheet tracking and closures
  • Coordinate with all regional HR and Project Management teams to ensure known hardware and software is procured for employees
  • Manage any additional data transfer requirements for existing PC upgrades as needed
  • Build/deploy PCs from local stock inventory as needed

  • Asset management and procurement for Digital Services IT hardware
  • Maintain SHI Inventory of New PC and peripheral hardware
  • Reallocation reporting / routing for bulk SHI inventory coordination with Yards and or 02S

  • IT Store Management
  • Manage IT Store site - maintaining hardware standards and device types reflect accurately
  • Manage incoming service desk tickets related to IT Store order status and or billing

  • Intern Hardware Management and Processes
  • Refurbished PC inventory tracking
  • Primary POC with internal ECPM team for intern strategy, planning and communication
  • Create and maintain all documentation for distribution
  • 2025 Intern Season
  • Coordinate with regional digital services team to create communications including pre-hire communication and coordination with operations teams
  • Intern onboarding survival guides
  • Asset recovery communications
  • Delivery and recovery for all intern machines and peripherals
  • Communication with HR and regional teams

  • Invoice Processing for PC and hardware procurement
  • Code and route to appropriate manager for final approval


Qualifications

Education & Experience

  • Associate’s degree preferred; equivalent combination of education and experience will be considered.
  • 5+ years of experience in an administrative, executive assistant, or similar support role; experience supporting senior leaders strongly preferred.
  • Experience in Accounting, Information Technology, Human Resources, or professional services environment is preferred.
  • Experience working in a fast-paced, matrixed organization with multiple stakeholders.


Skills & Competencies

  • Exceptional organization and planning skills with the ability to manage multiple priorities, deadlines, and stakeholders.
  • Strong attention to detail and accuracy in scheduling, documentation, invoice handling, and written communications.
  • Advanced proficiency in Microsoft Outlook, Word, PowerPoint, and Excel; experience with SharePoint, Teams, and OneNote a plus.
  • Excellent written and verbal communication skills, including the ability to draft clear, concise emails and meeting materials.
  • Comfortable working with basic financial and HR documentation (invoices, notices, program forms) and following defined processes.
  • Proactive, resourceful, and able to work both independently and as part of a team.
  • Strong interpersonal skills and the ability to build relationships at all levels of the organization.
  • Comfortable working with executives and leadership teams, including anticipating needs and providing solutions.
