The Human Resources Assistant serves as the primary point of contact for employee services, supporting both seasonal and year-round staff throughout the employment lifecycle. This role provides front-line HR support including recruiting coordination, onboarding, compliance, and employee assistance, while delivering a high level of customer service.
In addition, this position plays a key role in supporting the resort’s cultural exchange employee program, including employee engagement, housing coordination, and transportation support. Success in this role requires strong organizational skills, attention to detail, discretion, and the ability to thrive in a fast-paced, guest-focused environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Greet visitors, employees, and applicants; respond to general inquiries and direct phone calls to appropriate departments.
- Provide front-line support to employees and candidates via phone, email, and in person, assisting with applications, onboarding, and general HR inquiries.
- Assist with the cultural exchange employee program, including communication with participants, coordinating activities, supporting housing operations and inspections, addressing concerns, and operating employee shuttle transportation as needed.
- Maintain current knowledge of resort policies and procedures and ensure consistent application.
- Handle employee and company information with a high level of confidentiality and professionalism.
- Support recruiting efforts by posting open positions, maintaining the applicant tracking system, and assisting with job advertising.
- Assist with applicant screening and route qualified candidates to hiring managers; redirect applicants to alternative opportunities when appropriate.
- Track applicant status and maintain accurate, up-to-date candidate records, including hire and disposition status communications.
- Support onboarding by assisting new hires with completion of electronic employment forms through HRIS.
- Ensure completion, accuracy, and compliance with all employment documentation (including Form I-9, W-4, youth employment forms, and related records); maintain organized employee files.
- Monitor and follow up on outstanding or incomplete hiring documentation; communicate status updates to supervisors and employees.
- Maintain compliance logs and reporting requirements, including I-9 tracking, youth employment records, and timely submission of new hire reports.
- Perform records management functions, including scanning, filing, and maintaining electronic and physical documentation in compliance with company standards.
- Coordinate employee-related resources, including background checks, uniforms, nametags, and distribution of employee perks in accordance with company policy. Provide general administrative and operational support to the Human Resources team, including training support, office organization, participation in safety and team initiatives, and contributing to departmental goals.

EDUCATION and/or EXPERIENCE
High school diploma (or equivalent) required; one to two years’ related experience and/or training; or equivalent combination of education and experience. Advanced knowledge of MS Office required. Experience with HR Information Systems preferred.
WORK ENVIRONMENT
This position operates primarily in an office setting within the resort, with frequent interaction with employees and applicants in a front-facing Employee Services environment. The role regularly involves movement throughout the resort property, including occasional work outdoors in varying weather conditions to support employee services, housing, and cultural exchange activities. The employee may occasionally be exposed to moderate noise levels and typical operational environments associated with a resort setting.
SCHEDULING
The Human Resources Assistant is a full-time, year-round position. Hours vary based on season and business volumes. The typical schedule is 5 days a week 8:00 am to 4:00 pm. Weekends, holidays and vacation weeks are included.
