Definition: Under general supervision of the HIM Supervisor. The HIM Technician will manage, analyze, and secure patient data to ensure records are accurate, complete, and compliant with regulations like HIPAA. The HIM Technician process medical records, handle release of information, and work with electronic health records (EHR) systems. This job class is treated as FLSA Non-Exempt.


Essential Functions: Essential functions may vary among positions and may include the following tasks and other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is not intended to be a comprehensive list of tasks performed by all positions in this classification.

  1. Create, maintain and update patient records and healthcare documentation with accuracy and attention to detail.
  2. Manage electronic health record (EHR) systems, including data entry, quality control, and troubleshooting.
  3. Determines validity of all requests for health records/information / PACS images to ensure compliance with state, federal and HIPPA guidelines. Monitors/performs activities of release of PHI which includes external correspondence, determination of records to be released, entering requests into EMR scanning database, retrieving/filing of health records from all locations, and the reproduction of information (ie., CD burning, x-ray films, power point).
  4. Assist in audits and inspections by providing accurate records and documentation as required.
  5. Performs HIM duties scanning in outside records into the patient’s electronic health record, completing quality checks of documents scanned and documenting as appropriate.
  6. Prepares affidavits and other documents to accompany subpoenas, court orders, and other legal requests and deliver certified health records to court and/or other legal proceedings, when appropriate and under the direction of Quality & Compliance and HIM leadership.
  7. Contacts/greets and communicates with customers. Responsible for answering telephone calls, retrieving and responding to voice mail messages. Directs all information to appropriate individual. Orients patients to the department with directions and instructions.
  8. Identifies and escalate duplicate patient records and participates in chart correction and merge workflows to maintain data integrity.
  9. Assist patients with the registration process for the patient portal, provide guidance an dhow to navigate the portal and access their electronic health record.
  10. Performs clerical duties such as answering telephones and directing inquiries, distributing incoming facsimiles and mail, etc., providing prompt and courteous customer service.
  11. Assists the physicians in completing their records.
  12. Provide back-up coverage and support for Schedulers, Patient Portal Coordinators and/or Medical Support Assistants.
  13. Provides high-level customer service to patients, legal representatives, and internal departments, ensuring timely and professional communication.
  14. Maintains strict data security practices, including access controls, secure handling, and confidentiality of protected health information.

Knowledge, Skills, Abilities and Other Characteristics:
  • Knowledge of the history, culture, laws, rules, customs and traditions of the Salt River Pima-Maricopa Indian Community.
  • Knowledge of expectations of medical office standards, policies and procedures.
  • Knowledge of basic medical office equipment and familiarity with usage.
  • Knowledge of HIPAA regulations and medical record compliance standards.


  • Skill with gathering detailed and pertinent patient information from patients, guardians, or representative
  • Skill using a variety of office equipment and a personal computer with proficiency in MS Office and MS Outlook


  • Ability to communicate clearly and effectively, both verbally and in writing.
  • Ability to multi-task and work with minimal supervision.
  • Ability to work effectively with a variety of clinically trained service providers.
  • Ability to meet and comply with HIPAA/Confidentiality policies and procedures and ability to handle highly confidential and sensitive patient information.
  • Ability to deal with sensitive issues and maintain appropriate, professional and confidential relationships.
  • Ability to lift and carry 15 lbs.
  • Education and Experience: High school diploma or GED required;
    • For enrolled Community members without a GED, must obtain a GED. Requires participation in the HR GED Program and successful completion of the Arizona state certified exam in order to continue employment with SRPMIC
    • One year minimum of general clerical experience.
    • Experience in a healthcare setting such as hospitals, clinics, or social assistance organizations preferred.
    • Experience working with electronic health records (EHR) systems or medical records management preferred.
    • Must be able to work independently and handle sensitive information.


  • Equivalency: Any equivalent combination of education and/or experience that would allow the candidate to satisfactorily perform the duties of this position, will be considered.


  • Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill.
Special Requirements: May be required to work outside normal work hours including nights, weekends and holidays.

  • Ensures all patient information is kept confidential and complies with Health Insurance Portability and Accountability Act (HIPAA) regulations and SRPMIC HHS policies and procedures.
