Position Overview:
Under general supervision, the Service Coordinator II will assist and support the Service Coordinator III and the Service Managers in managing the flow of communication between customers and Service Technicians, ensuring customers are kept up to date on repair times, estimates, and when their vehicles are ready for pick up. This role has a strong focus on customer service, as the Service Coordinator is often the initial point of contact. Strong interpersonal skills are essential to build and maintain relationships with clients, partners, and service providers, ensuring clients receive the highest quality care.
Operational & Customer Service Coordination
Assist with scheduling vehicle service appointments and coordinating maintenance timelines.
Greet customers and County department representatives in a professional and courteous manner.
Accurately document customer concerns and repair requests using fleet management software.
Support dispatching of repairs to technicians and outside vendors based on workload and priority.
Answer incoming calls and provide accurate information regarding vehicle status and service needs.
Assist in reviewing and preparing repair estimates; communicate expected costs to obtain approval from County Departments.
Track vehicle repairs and proactively communicate progress, delays, and completion status to customers.
Maintain excellent customer satisfaction through consistent communication and follow-through.
Quality Assurance, Inspection & Vehicle Movement
Assist in conducting quality assurance and performance inspections on repaired and upfitted vehicles to ensure installations meet or exceed Fleet standards and specifications.
Shuttle vehicles to and from locations for maintenance scheduling, repairs, and quality control inspections.
Verify completed repairs aligning with work orders prior to release to customer departments.
Shop Organization & Operational Support
Help maintain a clean, organized, and safe shop environment.
Support coordination between service staff, parts personnel, and vendors to ensure workflow efficiency.
Administrative & Compliance Responsibilities
Follow all County safety policies and procedures.
Maintain accurate documentation within fleet management systems.
Perform additional tasks assigned by management to support Fleet Services operations.

Education:
High school diploma or GED equivalent from an accredited educational institution.
Experience:
1 year of Customer Service experience with a Positive and Flexible Attitude
3 years of Automotive Repair experience
3 years Body Shop and Collision Estimating experience
Licensure:
Valid driver’s license with a clean driving record.
Knowledge, Skill & Abilities (KSAs):
Must possess or be willing to acquire a personal set of tools commonly used in automotive repair work.
Must have the ability to work well with others in a diverse and high-volume environment.
Must have excellent verbal and written communication skills.
Must possess strong organizational skills.
Must move with a purpose in a high-volume environment.
Must have the ability to work independently on assigned tasks as well as to accept directions on given assignments
Must maintain a professional appearance and manner. Must maintain a clean workspace.
Ability to lift to 50 pounds.
Subject to kneeling, crouching, handling, walking, sitting, and reaching are needed to perform the essential functions.

Work Arrangement:

Work Environment:

May be asked to work outdoors in elements such as hot, cold, and rain.
May be asked to work at different shop locations based on Fleet Workload
