Position Overview
We are a highly selective boutique wealth management firm serving ultra-high-net-worth individuals and families. We are seeking a polished, detail-driven Financial Advisor Assistant who embodies a white-glove service mindset and takes pride in delivering an exceptional, discreet client experience.
This role is central to the firm’s ability to operate seamlessly—anticipating needs, managing complex logistics, and ensuring every client interaction reflects the highest standards of professionalism. The ideal candidate has experience in private banking, family office environments, or luxury hospitality and is comfortable engaging with sophisticated clients both in person and over the phone.
This is a W-2 position offering a competitive salary, performance-based bonus, and full benefits package.
Key Responsibilities
Client Experience & Relationship Support
- Deliver a refined, concierge-level client experience across all touchpoints
- Serve as a trusted point of contact for client communications with discretion and professionalism
- Welcome clients to the office and manage in-person interactions with a high level of poise and attention to detail
Calendar & Coordination
- Manage complex advisor calendars, including multi-party scheduling and high-touch client reviews
- Coordinate logistics for meetings, including in-office, virtual, and occasional off-site engagements
- Anticipate scheduling needs and proactively optimize advisor time
Meeting Preparation & Presentation
- Prepare highly polished, presentation-ready client materials and reports
- Ensure all client information is accurate, current, and thoughtfully organized
- Support advisors during meetings to ensure a seamless, elevated experience
Post-Meeting Execution & Follow-Through
- Capture key discussion points and manage all follow-up actions with precision
- Oversee account-related workflows including documentation, transfers, and service requests
- Coordinate with custodians and internal partners to ensure timely and accurate execution
Licensing, Compliance & Operational Support
- Maintain oversight of advisor licensing, renewals, and continuing education requirements
- Ensure all client records and documentation meet firm and regulatory standards
- Uphold a high standard of confidentiality, organization, and process discipline
Qualifications
- 3+ years of experience in private banking, wealth management, family office, or luxury service environments
- Demonstrated ability to deliver a high-touch, detail-oriented client experience
- Exceptional organizational skills and ability to manage complex, shifting priorities
- Strong written and verbal communication skills with a polished, professional presence
- High degree of discretion and emotional intelligence
Preferred:
- Experience supporting ultra-high-net-worth clients
- Familiarity with CRM systems and custodial platforms (e.g., Schwab, Fidelity)
- Interest in long-term growth within wealth management or advisory services
