Position Summary
We are seeking a versatile Finance Operations Specialist to join our team. This role is unique as it blends full-cycle accounting support with essential operations. You will manage the financial health of our business. The ideal candidate is a highly organized professional who can manage all financial data, reporting and compliance needs.
Job Responsibilities
Finance: AP, AR & Commercial Support
- Full-Cycle Accounting: Manage AP/AR, including three-way matching for inventory and managing retailer deductions/chargebacks.
- Commercial Support: Review quotes and contracts for pricing accuracy; ensure Revenue Recognition compliance regarding returns and volume rebates.
- Cash & Tax: Perform bank reconciliations, monitor cash flow, and prepare monthly Sales/Use Tax filings and all other Corporate Tax compliance needs.
- Reporting: Assist in preparing monthly financial statements and analyzing COGS and gross margins.
Payroll Coordination
- Payroll Processing: Coordinate all payroll-related updates (commissions, bonuses, overtime, and deductions) between the Finance team and the ADP PEO.
- Compliance: Ensure payroll records align with the general ledger and assist in month-end payroll accruals.
- Time Tracking: Monitor time-off requests and attendance records for accuracy prior to payroll submission.
Qualifications
- Experience: 3–5 years of experience in a dual Finance/HR or Office Operations role, preferably within the Consumables or Retail sector.
- Technical Skills: Strong proficiency in ERP software (Oracles, QuickBooks, NetSuite, etc.) and Advanced Excel.
- PEO Familiarity: Direct experience working with PEO platforms (e.g., Justworks, TriNet, ADP TotalSource, or Rippling) is highly preferred.
- Discretion: High level of integrity and the ability to handle sensitive financial and personnel data with absolute confidentiality.
- Communication: Excellent interpersonal skills to bridge the gap between corporate finance requirements and employee needs.
- Language: Bilingual fluency in English and Chinese (Mandarin) is strongly preferred

HOW WE WILL REWARD YOU
The base salary range for this full time position is $70,000 – $95,000 per year, dependent on experience.
