We are seeking a highly organized, proactive, and service-oriented Executive Assistant to the CEO. This role supports both business and personal priorities, requiring strong discretion, judgment, and adaptability. As a trusted partner, you will manage scheduling, travel, communications, and coordination to keep priorities running seamlessly. While rooted within the firm, the role extends beyond a traditional corporate scope and includes select external responsibilities. Responsibilities
- Manage complex calendars and scheduling for senior leadership across multiple time zones.
- Prepare meeting materials, agendas, and follow-up action items.
- Assist with email coordination and professional correspondence.
- Track priorities and ensure timely execution on key action items.
- Arrange end-to-end domestic and international travel, including flights, accommodations, and transportation.
- Prepare detailed itineraries and ensure seamless logistics.
- Serve as a central point of coordination for internal and external stakeholders.
- Ensure clear, timely, and professional communication on behalf of leadership.
- Coordinate leadership meetings, firm outings, and company off-sites.
- Support day-to-day management of the Chicago offices, including vendors and facilities.
- Source high-quality, tasteful, and on-trend options while remaining mindful of budget.
- This role includes personal assistant support to leadership when needed, which may include coordinating appointments, managing reservations, handling occasional errands, researching vendors, and assisting with personal logistics.
- Support ad hoc initiatives and strategic projects within the Office of the CEO, such as assisting with hiring, presentation creation, and research.
Experience
- Bachelor’s degree preferred.
- 3+ years of experience supporting c-suite executives, principals, family offices, or founders as an executive administrative assistant.
- Must be highly literate in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Professional demeanor with refined interpersonal skills and a strong service orientation.
- Ability to maintain composure and professionalism in a fast-paced, high-output, ambitious culture.
- Outstanding organizational skills to ensure the timely execution of responsibilities.
- Excellent written and verbal communication skills, with a focus on proofreading.
- Strong interpersonal skills and a naturally service-oriented mindset.
