We are seeking a highly organized, proactive, and service-oriented Executive Assistant to the CEO. This role supports both business and personal priorities, requiring strong discretion, judgment, and adaptability. As a trusted partner, you will manage scheduling, travel, communications, and coordination to keep priorities running seamlessly. While rooted within the firm, the role extends beyond a traditional corporate scope and includes select external responsibilities. This is a high-trust, high-visibility position with opportunity to grow. Responsibilities

  • Manage complex calendars and scheduling for senior leadership across multiple time zones.
  • Prepare meeting materials, agendas, and follow-up action items.
  • Assist with email coordination and professional correspondence.
  • Track priorities and ensure timely execution on key action items.
  • Arrange end-to-end domestic and international travel, including flights, accommodations, and transportation.
  • Prepare detailed itineraries and ensure seamless logistics.
  • Serve as a central point of coordination for internal and external stakeholders.
  • Ensure clear, timely, and professional communication on behalf of leadership.
  • Coordinate leadership meetings, firm outings, and company off-sites.
  • Support day-to-day management of the Chicago offices, including vendors and facilities.
  • Source high-quality, tasteful, and on-trend options while remaining mindful of budget.
  • This role includes personal assistant support to leadership when needed, which may include coordinating appointments, managing reservations, handling occasional errands, researching vendors, and assisting with personal logistics.
  • Support ad hoc initiatives and strategic projects within the Office of the CEO, such as assisting with hiring, presentation creation, and research.


Experience

  • Bachelor’s degree preferred.
  • 3+ years of experience supporting c-suite executives, principals, family offices, or founders as an executive administrative assistant.
  • Must be highly literate in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Professional demeanor with refined interpersonal skills and a strong service orientation.
  • Ability to maintain composure and professionalism in a fast-paced, high-output, ambitious culture.
  • Outstanding organizational skills to ensure the timely execution of responsibilities.
  • Excellent written and verbal communication skills, with a focus on proofreading.
  • Strong interpersonal skills and a naturally service-oriented mindset.
  • Ability to seamlessly manage multiple tasks with potentially shifting priorities.
  • High level of professionalism, discretion, and integrity with internal and external stakeholders.
