As we continue to grow, we are seeking a highly capable Executive Assistant to the CEO who can operate as a trusted partner to the Chief Executive Officer and help drive focus, execution, and organizational effectiveness.
About the Role
This is not a traditional administrative support position. This is a high-impact role for a proactive, strategic, and exceptionally organized professional who can help the CEO operate at maximum effectiveness.
The ideal candidate is polished, discreet, operationally strong, and able to thrive in a fast-paced, technical environment. You will play a critical role in managing priorities, coordinating executive workflows, supporting internal and external communications, and ensuring follow-through across key initiatives.
You will be expected to anticipate needs, solve problems before they escalate, and bring structure to a dynamic and evolving business environment.
Key Responsibilities
- Manage and optimize the CEO’s calendar, priorities, and daily workflow
- Coordinate complex scheduling across internal teams, customers, partners, and stakeholders
- Prepare the CEO for meetings with agendas, briefing materials, presentation support, and follow-up items
- Organize travel, logistics, and executive itineraries with precision and flexibility
- Track action items, decisions, and deliverables to ensure timely execution across teams
- Serve as a gatekeeper and strategic point of coordination for incoming requests and communications
- Draft, edit, and manage executive correspondence, presentations, and internal communications
- Support leadership meetings, offsites, special projects, and company initiatives
- Maintain a high level of confidentiality and professionalism in handling sensitive information
- Build and improve processes that enhance executive efficiency and organizational alignment
What We’re Looking For
- 7+ years of experience supporting a CEO, founder, president, or other senior executive
- Proven success in a fast-paced, high-performance environment
- Exceptional organizational, project management, and follow-through skills
- Strong written and verbal communication abilities
- Excellent judgment, discretion, and emotional intelligence
- Ability to manage competing priorities with calm, professionalism, and urgency
- Strong business acumen and the ability to think beyond administrative execution
- High proficiency with Microsoft Office, Google Workspace, calendar tools, and collaboration platforms
- Ability to work on-site in Sunrise, Florida
Preferred Qualifications
- Bachelor’s degree required
- Bachelor’s degree in Engineering strongly preferred
- MBA strongly preferred
- Experience supporting executives in defense, aerospace, advanced manufacturing, hardware, or other technical industries preferred
- Comfortable working with cross-functional teams including engineering, product, operations, and leadership
- Experience in a highly confidential, regulated, or mission-driven environment is a plus
