We are looking for an experienced, highly polished Executive Assistant to support the CEO of a rapidly growing, data-driven financial services organization in New York City. This company has experienced significant growth over the past two decades and offers a dynamic, fast-paced environment with strong leadership and a collaborative culture. This is an exciting opportunity to partner closely with a driven executive and play a critical role in keeping daily operations running seamlessly. Responsibilities:

  • Manage and maintain a highly complex and ever-changing executive calendar, including scheduling meetings, appointments, and travel arrangements
  • Coordinate meetings end-to-end, including room bookings, technology setup, and catering/lunch ordering
  • Serve as a gatekeeper and strategic partner to the CEO, prioritizing requests and managing time effectively
  • Coordinate transportation logistics, including daily driver scheduling
  • Provide light personal support, including handling occasional errands and personal scheduling needs
  • Prepare meeting materials, presentations, and reports as needed
  • Attend meetings when necessary, take notes, and track follow-ups/action items
  • Partner closely with the Office Manager to ensure smooth day-to-day office operations
  • Assist with general office coordination, including vendor communication and event support
  • Handle confidential information with the highest level of discretion and professionalism


Requirements:

  • 4–5+ years of experience supporting a senior executive in an Executive Assistant capacity
  • Background in financial services or another data-driven, fast-paced industry strongly preferred
  • Highly polished, professional demeanor with strong communication skills
  • Confident and assertive, able to push back, manage up, and hold an executive accountable
  • Proactive, solutions-oriented mindset with strong problem-solving abilities
  • Tech-savvy with proficiency in Microsoft Office Suite (Outlook, Teams, etc.)
  • Strong organizational skills with exceptional attention to detail
  • Energetic, personable, and able to build rapport with a dynamic executive
  • Ability to juggle competing priorities and adapt quickly in a fast-moving environment


Schedule:

  • Monday–Friday, approximately 8:30 AM – 5:00 PM
  • In-office 5 days per week, with occasional flexibility for remote work


Compensation: $130,000 – $150,000 base salary (DOE) & Full benefits package offered

Location: New York, NY (Fully In-Office)
