Compensation Range: $85,000–$120,000 + performance bonus


1. Position Summary


We're looking for a highly experienced, business-minded Executive Assistant who serves as a strategic partner and extension of the CEO. The successful candidate will anticipate needs, drive execution, and act as a central operator across business priorities. This role involves managing competing priorities, protecting the CEO’s time, and ensuring key initiatives progress without friction.


2. Key Responsibilities


CEO Leverage & Time Optimization

Act as a gatekeeper and strategic filter for all incoming requests.

Own and optimize the CEO’s calendar, aligning it with core business priorities.

Prepare the CEO for all meetings with comprehensive briefs, context, and defined decision points.

Ensure follow-ups are executed and close all communication loops.


Communication & Stakeholder Management

Serve as the point of contact between the CEO and internal/external stakeholders.

Draft high-quality internal and external communications on behalf of the CEO.

Manage sensitive and confidential information with discretion.

Interface with investors, partners, and senior leaders when needed.


Meeting & Decision Support

Manage meeting preparation, agendas, and documentation.

Capture key decisions and ensure execution against them.

Identify gaps, risks, and misalignment early in the process.

Keep leadership aligned and progressing.


Special Projects & Strategic Support

Support high-priority initiatives, such as operational improvements, vendor coordination, and program rollouts.

Conduct research, synthesize information, and present recommendations to the CEO.

Assist with the implementation of programs, including employee-facing initiatives like coaching and Employee Assistance Program (EAP) services.


3. Required QualificationsExperience

7–12+ years supporting C-level executives in fast-paced environments.

Background in manufacturing, PE-backed companies, or growth-stage businesses is a plus.

4. Success Metrics (First 90 Days)

The following outcomes define success in the first 90 days:

The CEO’s time is clean, protected, and aligned to priorities.

The leadership team is more accountable and better coordinated.

Key initiatives are moving faster with fewer bottlenecks.

The CEO is less reactive and more strategic.

The Executive Assistant is seen as a trusted operator across the organization.


5. Nice-to-Haves

Experience working with PE-backed leadership teams.

Familiarity with project tracking tools like Notion or Asana.

Exposure to HR, coaching programs, or employee engagement initiatives.
