Executive Assistant to Chief Executive Officer

I am looking for a seriously impressive right-hand person.


Someone smart, fast, organized, proactive, tech-savvy, and calm under pressure. Someone who loves keeping things moving, catching details others miss, staying ten steps ahead, and making busy life and business feel a whole lot more under control.


This is not a basic assistant role. This person will support me in both business and personal matters, help protect my time and focus, keep things organized, support operations, assist with personal and household coordination, and make sure important things do not fall through the cracks.


The right person will be highly capable, resourceful, polished, discreet, and strong on follow-through. She should thrive in a fast-paced environment and be fully confident juggling multiple priorities with professionalism and grit.


Because this role will regularly interact with financial information, business operations, and internal processes, this person must also have a strong administrative and operational background, a solid understanding of bookkeeping and office workflows, and know QuickBooks Online like an absolute boss.


Key Responsibilities


Executive Support

  • Manage and protect the CEO’s calendar, including scheduling, rescheduling, and prioritizing meetings
  • Coordinate internal and external meetings, calls, and appointments
  • Prepare agendas, gather materials, and ensure the CEO is prepared for meetings and commitments
  • Draft, review, and send emails and communications on behalf of the CEO
  • Track follow-ups, action items, deadlines, and outstanding tasks
  • Assist with project coordination across departments and team members
  • Help organize company information, documents, reports, and files
  • Serve as a gatekeeper for the CEO’s time and attention
  • Support leadership meetings, special projects, and operational initiatives
  • Book and coordinate business travel, accommodations, itineraries, and reservations


Personal Assistant Support

  • Manage personal appointments, scheduling, and reminders
  • Assist with family calendar coordination, events, and logistics
  • Coordinate personal travel, dinner reservations, gifts, and special occasions
  • Help manage household-related vendors and appointments
  • Assist with errands, online orders, and personal administrative tasks
  • Track important personal deadlines, events, and recurring needs
  • Help keep personal matters organized so the CEO can stay focused on leadership and growth


Administrative and Financial Support

  • Maintain and organize records, documents, and internal systems
  • Assist with bookkeeping-related administrative work as needed
  • Navigate and manage QuickBooks Online with a high level of confidence and accuracy
  • Support billing, vendor coordination, expense tracking, and financial organization when needed
  • Help improve systems, processes, and workflow efficiency
  • Use sound judgment when handling confidential business and financial information


Required Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field
  • Expert-level knowledge of QuickBooks Online
  • Prior experience as a bookkeeper, accountant, office manager, executive assistant, administrative assistant, or similar role
  • Strong administrative, organizational, and project coordination skills
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality
  • Strong attention to detail and follow-through
  • Ability to prioritize, multitask, and pivot quickly
  • Proficiency with Google Workspace, Microsoft Office, and common business technology platforms
  • Ability to work independently and solve problems proactively


Preferred Qualifications

  • Experience supporting a business owner or executive leader
  • Experience in a professional services environment
  • Familiarity with bookkeeping workflows, financial reporting, and back-office operations
  • Experience balancing both personal and executive assistant responsibilities in one role
  • Strong process improvement mindset and ability to bring order to chaos
