Executive Assistant to Founder

About the Role
We are seeking an exceptional Executive Assistant to provide high-level support to the Founder of a tech company. This is a full-time, in-office role (Monday–Friday, 9–5 or 10–6) for someone who is deeply committed to the craft of being an excellent assistant. This person must bring grace, discretion, and precision to everything they do.
Key Responsibilities
Scheduling & Calendar Management
- Manage complex, high-volume business and personal calendars for a founder who travels extensively
- Coordinate across time zones with family members, chiefs of staff, and external offices to maintain a seamless, unified schedule
- Anticipate scheduling conflicts and resolve proactively
Travel Coordination
- Arrange all travel for the Founder independently, handling flights, accommodations, ground transportation, and full itinerary logistics
- Collaborate with a travel agent when needed for more complex trips
- Ensure every trip is well-organized and runs smoothly from start to finish
Event Planning & Execution
- Plan and execute events of up to 100 guests, from intimate private dinners to larger gatherings
- Work directly with chefs, caterers, and vendors on menus, logistics, and setup
- Oversee all event details — table settings, guest flow, ambiance — ensuring every event runs flawlessly
- Correspond with guests and their offices with professionalism and warmth
Personal & Household Support
- Run personal errands and manage day-to-day personal tasks for the Founder
- Liaise with the house manager, household staff, and office employees across multiple residences
- Support coordination involving the Founder’s family, including three children
Gifting
- Oversee all gift buying for the Founder — holiday gifts for family members and employees across the organization
- Bring genuine taste, creativity, and cultural awareness to curating gifts that are elegant, thoughtful, and on-trend
General Executive Support
- Attend meetings when needed, representing the Founder with polish and professionalism
- Handle correspondence, phone calls, and communications with excellent judgment
- Manage sensitive information with the utmost confidentiality
Requirements
- 3+ years of experience as an Executive Assistant or Personal Assistant, with hands-on experience across the types of responsibilities listed above
- Experience coordinating events and working with vendors and hospitality teams
- Outstanding written and verbal communication skills with exceptional attention to detail
- Ability to manage highly sensitive and confidential information with absolute discretion
- Comfortable working across personal and professional domains
- Proficient in Google Suite and Gemini
- Proficient in Microsoft Word
- Strong skills in creating polished PDFs and PowerPoint presentations
- Familiarity with AI tools and a curiosity to use them effectively in day-to-day work
