Name of Position: Executive Assistant to the CEO
Reports to: Chief Executive Officer (CEO)
I. Summary:
The Executive Assistant to the CEO provides high-level administrative and organizational support directly to the Chief Executive Officer of Target Metal Blanking. This role serves as the primary point of contact for internal and external parties on all matters pertaining to the CEO, and is responsible for managing the CEO’s time, priorities, communications, and day-to-day operations with the utmost professionalism and confidentiality.
II. Core Activities:
1. Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
2. Coordinate and prepare materials for meetings, including agendas, presentations, and follow-up action items.
3. Screen and manage incoming calls, emails, and correspondence on behalf of the CEO; prioritize and route appropriately.
4. Draft, proofread, and send professional communications on behalf of the CEO.
5. Arrange and coordinate domestic and international travel, including flights, hotels, ground transportation, and itineraries.
6. Act as a liaison between the CEO and internal departments, clients, vendors, and external partners.
7. Maintain and organize confidential files, records, and documents for the CEO’s office.
8. Process and reconcile expense reports and invoices for the CEO.
9. Plan and coordinate company events, executive meetings, and off-site engagements as directed by the CEO.
10. Conduct research and compile reports or briefings as requested by the CEO.
11. Handle special projects and other duties as assigned by the CEO.
III. Knowledge, Skills, Abilities:
1. Minimum 3-5 years of experience as an executive assistant or in a senior administrative support role.
2. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools.
3. Exceptional organizational and time-management skills with the ability to prioritize competing demands.
4. Strong written and verbal communication skills; ability to draft professional correspondence independently.
5. High level of discretion and ability to handle confidential and sensitive information.
6. Ability to work independently, take initiative, and anticipate the needs of the CEO.
7. Associate’s or Bachelor’s degree in Business Administration or related field preferred.
